Administrative Assistant – Operations Team (Irvine, CA)

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Operations Department. This role plays an essential part in ensuring the efficiency and accuracy of customer support, documentation, and internal coordination across multiple teams.
Key Responsibilities
Provide administrative support to the Operations Department and coordinate activities between internal teams.
Create and manage Service Orders (SOs) and Return Authorizations (RAs) while ensuring timely follow-up with customers.
Prepare and organize pre-invoicing packets , packing lists , and shipping documentation .
Process orders from receipt through shipment and delivery completion.
Track shipments, verify delivery information, and communicate updates to customers.
Perform final administrative quality checks across departments to ensure accuracy.
Maintain organized digital and physical records to support compliance and audit requirements.
Review and suggest improvements to administrative procedures for greater operational efficiency.
Required Qualifications
Education : High school diploma or equivalent required; Associate degree preferred.
Experience :
2–5 years of administrative or customer service experience, preferably in logistics, technology, or manufacturing environments.
Prior experience in a medical device or computer service organization is a plus.
Technical Skills :
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general Windows applications.
Ability to type 45+ WPM accurately.
Experience with ERP or CRM systems for order management is strongly preferred.
Professional Skills :
Exceptional written and verbal communication skills.
Strong organizational and time-management abilities with attention to detail.
Proven ability to manage multiple tasks and deadlines in a fast-paced environment.
Collaborative mindset with the ability to work effectively across teams.

Schedule : Monday–Friday, 8 : 00 AM – 5 : 00 PM
Status : Non-Exempt | Temp-to-Hire | Full-Time
