Job Title : Athletic Program Manager
Responsible for overseeing the planning, development, recruitment and administration of athletic programs, leagues, and tournaments within the City's Parks and Recreation Department to align with the mission of department that is dedicated to enhancing the quality of life for all residents and visitors by providing exceptional parks, facilities, programs, and activities.
Major duties include actively recruiting new tournaments and events to enhance the department's offerings and community engagement, identifying and scheduling a diverse range of events for facility patrons, strategically scheduling events to optimize facility usage and maximize revenue potential, maintaining a master calendar for facility-hosted events, tournaments, and activities, representing the organization nationally with professionalism, developing and nurturing relationships with sports tournament and athletics organization contacts, maintaining professional and positive relationships with tournament and event leadership teams, serving as the main point of contact for sports organizations and tournament directors, negotiating contracts with event and tournament directors, managing relationships with vendors and contractors, creating, planning, organizing, promoting, implementing, and managing citywide athletic programs for youth and adults, selecting, training, and motivating personnel assigned to specific programs, assisting in managing a variety of agreements, selecting, training and supervising all coaches, officials, field maintenance personnel, assuring training requirements for coaches and volunteers are completed, scheduling all sports leagues and tournaments, managing and maintaining accurate financial records for all tournaments, managing business development initiatives, communicating event projections and financial information to Director and other stakeholders, overseeing all aspects of tournament operations, planning and executing event management details, overseeing the preparation of all indoor and outdoor venues for competitions, coordinating schedules and ensuring facilities are properly set up, safe, and compliant with standards, conducting pre- and post-event meetings with stakeholders, recruiting, scheduling, and supervising tournament staff, volunteers, and contractors, overseeing the assignment of officials, coordinating with athletic trainers and emergency management services, assuming the role of manager on duty during assigned events, implementing and enforcing safety protocols and emergency procedures, implementing weather safety protocols, responding to emergency calls, managing customer service for tournament participants, maintaining a friendly and professional demeanor, exhibiting proficiency in both written and oral communication, communicating event details, marketing objectives, and lodging information to relevant stakeholders, working flexible hours, being available and prepared to travel, attending all required meetings, demonstrating a high level of professionalism and integrity consistently, coordinating with the Director on strategic initiatives to grow tournament offerings, and performing other duties as assigned.
Minimum qualifications include a bachelor's degree in a related field, five or more years of related work experience, current CPR / First Aid training, a valid driver's license, proficiency in the English language, and knowledge of recreation and sports management, municipal recreation administration, rules and best practices for various sports, tournament planning, facility scheduling, risk management, sports equipment setup, fee structures, municipal policies, ADA compliance, safety standards, public relations, conflict resolution, supervision, scheduling, and management principles.
