Summary :
The North Carolina Community Health Center Association (NCCHCA) is a membership organization for federally qualified, non-profit patient-governed health care organizations that provide care to patients regardless of insurance status or geographic isolation. NCCHCA’s mission is to promote and support patient-governed health care organizations and the populations they serve.
Reporting directly to the President and CEO, with a dotted-line reporting relationship to the Senior Vice President of CMHN, the Manager, Executive Office & Events provides high-level executive and administrative support to the President / CEO and Board of Directors, while also leading the planning and execution of organizational events, conferences, and meetings under the oversight of the SVP of CMHN.
This position works in close partnership with the Director of Business Development and the Vice President of Operations & Member Services to advance NCCHCA’s events strategy and ensure seamless execution. In addition, the Manager provides oversight of the daily work of CMHN administrative assistants, ensuring coordination, consistency, and efficiency across the team.
The role serves as the primary point of contact for internal and external stakeholders on matters pertaining to the Office of the President and contributes significantly to member engagement, stakeholder relations, and event success. This position requires exceptional organizational, communication, and project management skills, as well as the ability to anticipate needs, think strategically, and work collaboratively while maintaining strict confidentiality and discretion to protect the integrity of the President / CEO’s work and organizational operations.
Qualification Requirements :
- Bachelor’s degree required; advanced degree preferred.
Minimum Qualifications :
Minimum 5+ years of experience supporting C-level executives in an administrative or managerial capacity.Proven experience in event planning, logistics, and execution (nonprofit or association experience preferred).Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).Strong written and verbal communication skills with the ability to engage professionally with diverse stakeholders.Ability to manage multiple priorities under pressure with exceptional attention to detail.Flexibility to work evenings, weekends, and travel as required.Knowledge, Skills and Abilities :

Accountability

Executive & Board Support :
Provide high-level executive support to the President / CEO, including managing calendars, travel, correspondence, and expense reporting.Serve as administrative liaison to the Board of Directors, coordinating meetings, agendas, materials, logistics, and minutes.Maintain Board portal and ensure accurate governance records.Support the President / CEO’s preparation for meetings with internal and external stakeholders.External Relations & Stakeholder Engagement :
Serve as a primary point of contact for external partners, sponsors, and vendors in coordination with the President / CEO.Support sponsor and vendor engagement for events, including contracts, deliverables, and recognition.Draft and edit correspondence, reports, and presentations on behalf of the President / CEO.Foster relationships with member organizations, donors, and key partners to support NCCHCA’s mission.Event & Conference Management (under the oversight of the SVP of CMHN) :
Plan and execute NCCHCA conferences, forums, and special events (onsite and virtual).Collaborate with the Director of Business Development and VP of Operations & Member Services to align event strategy with organizational priorities and member engagement goals.Coordinate venue selection, AV, catering, registration, and overall logistics to ensure seamless events.Manage presenter communication, continuing education requirements, and event materials.Oversee exhibit hall arrangements and collaborate with Vendor Services staff.Partner with colleagues on creative event marketing and communications strategies.Ensure accurate staff assignments, registration processes, and participant support during events.Special Projects & Initiatives :
Coordinate cross-departmental projects as assigned by the President / CEO or SVP of CMHN.Conduct research, compile briefing materials, and track follow-up on key initiatives.Anticipate needs and proactively resolve issues to ensure organizational initiatives move forward effectively.Represent the President / CEO in designated meetings as required.Team Oversight & Collaboration :
Provide daily oversight to CMHN administrative assistants, ensuring alignment, efficiency, and consistency of support.Mentor and guide CMHN administrative staff, fostering professional development and collaborative teamwork.Serve as a connector between the executive office and other departments to ensure smooth information flow.Build a team culture that reflects NCCHCA’s values of service, collaboration, and excellence.Physical Demands :
Occasional lifting of up to 20 lbs. for event materials.Extended periods of sitting, standing, and walking during events.Ability to travel in-state and out-of-state, including overnight stays.Typical office environment with frequent event-related travel.Flexible schedule to support evening and weekend events.Work Environment :
This job operates in a professional office environment.
