JOB TITLE :   Intake / Supportive Services Specialist

DIVISION :   Adult Services

DEPARTMENT :   SEMCA Wayne AJC (PATH)

LOCATION : Wayne American Job Center (35731 W Michigan Ave, Wayne, MI 48184)

REPORTS TO :   PATH Program Manager

FLSA STATUS :   Non-Exempt / Hourly

CLASSIFICATION :   Full-Time Regular

JOB SUMMARY :   Responsible for assisting participants with all aspects of the orientation and enrollment process within the Wayne American Job Center (AJC). Also, updates and maintains participants' records, enters data, and assists participants with supportive services needs according to SEMCA supportive services policies.  This role also performs other office support tasks.

ESSENTIAL DUTIES & RESPONSIBILITIES :

  • Facilitates intake / orientation, explaining program requirements and expectations.
  • Shows interest and concern for all customers, treating them with respect and care.
  • Uses personal computer to input data into automated reporting system.
  • Assists with documentation including collecting required completed documents accurately and expeditiously.
  • Assists other Center staff with various office support functions.  Operates fax, copier and telephone system. Types memos, reports, and other materials.
  • Maintains detailed participant records in compliance with policies and procedures; Prepares and maintains current and accurate accounting of customer participation.
  • Maintains organized and efficient filing system.
  • Processes all supportive service payments including ensuring information is accurate, back up documentation is validated and purchase orders are completed and submitted.
  • Collects and distributes checks at the Center or other special project locations.
  • Contacts vendors to resolve any issues or concerns and assists with the procurement of vendors as needed.
  • Maintains accurate and up-to-date participant activity data, supportive services and other related information into data systems.
  • Reconciles and validates reports with related data files and systems; reports errors and corrections to management
  • Contributes to the team effort by performing other duties as assigned.

JOB QUALIFICATIONS :

  • High School Diploma or GED certificate required.  Associate Degree or a combination of education and related experience preferred.
  • Three years of customer service experience.
  • General knowledge of AJC services and programs.
  • Knowledge of relevant office equipment.
  • Ability to interact with customers in a positive and productive manner.
  • Ability to input basic data into personal computer.
  • Ability to prepare routine reports, file records correctly, and type materials as requested
  • Ability to effectively read and interpret written procedures.
  • Knowledge of or ability to learn data tracking and management information systems.
  • Excellent written and verbal communications skills.
  • Must be willing to work a flexible schedule.
  • PHYSICAL REQUIREMENTS :   The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to see, talk and hear. The employee is frequently required to stand, walk, sit for extended periods of time, and have sufficient hand, arm, and finger dexterity to operate a phone, computer keyboard, and other office equipment. Must be able to lift a minimum of 10 pounds. Some filing is required which would require the ability to lift files, open filing cabinets and bend or stand as necessary.

    WORK ENVIRONMENT :   The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.  - The noise level in the work environment is at times, moderately loud with little discomfort due to noise, dirt, dust and the like. This role routinely uses standard office equipment such as computers, phones, photo copiers, filing cabinets and fax machines.
