Juvenile Probation Receptionist
The SSS IV provides intermediate administrative support and clerical duties within their respective department. This person must have strong organization, computer and typing skills. The following is a composite of essential duties, tasks and accountabilities; however, there are additional duties specific to each department. Attached to this job description is a breakdown of specific duties and tasks, by department. This is a part-time position, scheduled for three (3) days per week. The position will be reevaluated in six (6) months and may transition to full-time status or remain part-time, depending on organizational needs.
Essential duties, tasks and accountabilities will vary by department and may include the following :
- Receptionist / customer service duties (answer phones, make outgoing calls, direct calls, greet visitors).
- Typing and data entry (prepare and distribute lists, transcription, maintain statistical data, proofreading).
- Clerical duties like distributing mail, copying, printing, ordering supplies, etc..
- Maintain databases, logs and spreadsheets.
- Filing and indexing (locate and pull files, re-file, update and maintain records.
- Perform special projects as assigned (e.g., research, training, run errands, etc.).
- Perform other duties, tasks and office functions, as required (e.g., attend meetings, facilitate meetings, etc.).
Juvenile Probation Receptionist
Primary front desk coverage, including answering a multi-line phone, directing calls, greeting and directing the public.Maintain the filing system for all case / court records.Maintain the daily court list and ensure staff are notified of court hearing arrivals.Receive and distribute mail twice daily.Oversee copiers / fax machinesMaintain the JPO Communications Room to ensure supplies are replenished, the counter is neat, the room is orderly.Provide administrative support (arrange meetings, scheduling, creating reports, handle correspondence, research, etc.).Assist with back-up tasks for other Probation Department support positions.Assist with back-up tasks for other court departments.Basic Court Management System software skills or the ability to learn JCMS and CPMSFacilitate the Copier / Fax maintenance contacts with the Contracted CompanyTrack Daily attendance and provide email status updates.Facilitate Printing and Duplicating orders as needed, including ordering business cards for staffQualifications / Preferred Skills, Knowledge & Experience :
High School Diploma or General Education Degree (GED).Minimum of one year of general office experience.Intermediate skills in using a personal computer and various software packagesAccurate and detail oriented with strong verbal and written communication skills including proficiency in both grammar and spelling.Strong typing skills (minimum of 50 wpm).Ability to use office machines (fax, copier, calculator, etc.).Strong interpersonal and customer service skills.Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.Flexible, with an ability to carry multiple tasks to completionAble to use common sense judgement to carry out written or verbal instructions.Exhibits a strong work ethic and a willingness to learn new tasks.Professionalism, integrity, and honesty with an ability to handle confidential matters.Preferred Skills, Knowledge & Experience :
Associate's degree with courses in Office Administration or equivalent combination of education and experience.Two or more years of job-related experience.Excellent ability to establish priorities, work independently, and proceed with objectives without supervision.General knowledge and understanding of County of Chester policies and procedures.Relevant background checks, clearances, physicals, drug tests, and any other assessments or evaluations will be conducted after an offer of employment is given per County policy.
