Administrative Assistant

The Administrative Assistant shall provide administrative support per requirements of the executives and directorates. Plan and produce correspondence, reports, proposals, memos, and other documentation. Operate spreadsheet software such as Excel, and presentation software such as PowerPoint to produce finished documents. Proofread completed documents. Provide copying and production support as needed.

Responsibilities

Essential Job Functions :

• Prepare a wide variety of correspondence, reports, and compose routine non-technical correspondence, such as letters of acknowledgement or notification.
• Consolidate and finalize information for various reports; gather and summarize information from files and documents for the supervisor's use in responding to inquiries; edit documents for correct grammar, spelling, capitalization, punctuation, and format.
• Screen incoming mail, receive telephone calls, and greet visitors.
• Maintain calendars, schedule appointments, meetings, and conferences.
• Review and update office procedures to ensure effective and efficient operations regarding the clerical, procedural, and administrative work of the unit.
• Establish, maintain, purge, and dispose of office records and files in accordance with the Air Force's records management plan.
• Make travel arrangements including scheduling transportation, making lodging reservations, and preparing travel orders and vouchers.
• Prepare, consolidate, submit, and maintain time and attendance records in accordance with established procedures.
• Gather all requisitions for office supplies, printing support, and related materials and services.
• Manage all taskers assigned to A9 (Task Management Tool, Executive Tracker) to include daily monitoring, posting, accepting, or declining, and downloading related documents.
