Senior Accounts Payable Specialist
As our Senior Accounts Payable Specialist, you will play a key role in managing and enhancing the full-cycle accounts payable function in a fast-paced, growth-oriented environment. This position requires a proactive and detail-oriented professional who can take ownership of AP processes, lead improvements, and partner with internal and external stakeholders to ensure accuracy, efficiency, and scalability. As a senior member of the team, this role will also support the department's goal of continuous improvement and sustainable systems.
Your Impact :
- Manage the full-cycle accounts payable process, including high-volume invoice entry, coding, approval workflows, and payment execution, ensuring compliance with company policies and GAAP standards.
- Lead vendor management efforts, including onboarding, compliance with IRS regulations (e.g., W-9s), ongoing maintenance, and 1099 preparation. Act as the point person for escalated vendor issues.
- Partner with project managers to ensure accurate coding and commitment alignment for subcontractor invoices, resolving complex discrepancies and providing support through project lifecycle.
- Championing the invoice approval workflow by driving education, troubleshooting issues, and working closely with management to improve accountability and cycle time.
- Oversee and execute timely check runs and other disbursements in accordance with payment terms and internal controls.
- Serve as a key resource for internal stakeholders, providing expert-level guidance on AP policies, invoice status, and subcontractor / vendor-related questions.
- Own vendor communications by handling escalated payment inquiries and ensuring thorough follow-up and resolution.
- Support audit readiness by preparing detailed AP audit schedules and documentation for internal and external stakeholders, including for Guarantee Electrical Company and affiliates.
- Take the lead in coordinating the annual 1099 filing process, ensuring accuracy and compliance with all IRS reporting requirements.
- Provide occasional support for office operations, including front desk coverage and clerical duties, as needed.
Who you are :
Minimum 3–5 years of progressive accounts payable experience, preferably in the construction or project-based industryProven experience managing full-cycle AP and vendor compliancep roficiency in Microsoft Excel, Word, and OutlookExperience with Viewpoint or similar ERP system is a plusStrong analytical, organizational, and problem-solving skillsKnowledge, Skills, and Abilities
Advanced knowledge of construction accounts payable processes and subcontractor / vendor relationshipsStrong understanding of GAAP and ability to apply accounting principles to complex situationsProven track record of identifying process gaps and implementing effective solutionsExcellent verbal and written communication skills, with the ability to engage across all levels of the organization and externally with vendorsStrong Excel skills and familiarity with accounting systems (Viewpoint preferred)Comfortable leading initiatives and mentoring junior team members when necessaryAbility to thrive in a high-volume, deadline-driven environmentOccasional overtime required during month-end close, year-end close, and reporting periodsMaintain exemption certificates, ensuring they are valid and up to dateProvide exemption certificates to vendors as needed and resolve discrepancies when tax is incorrectly chargedUnderstanding of what jobs will be tax exempt Why Guarantee?
