ORGANIZATION INFORMATION :

Its expanded mission has made it one of the nation’s largest HIV / AIDS, lesbian, gay, bisexual, transgender, and queer / questioning (LGBTQ+) healthcare organizations. With 22 offices in 12 cities, it serves more than 67,000 individuals in Ohio, Kentucky, and West Virginia each year through its diverse healthcare and social service delivery system focused around : primary and specialized medical care, retail pharmacy, dental, behavioral health, HIV / STI prevention, advocacy, and community health initiatives.

POSITION SUMMARY :

The Associate Director of Practice Operations is responsible for supervising and overseeing healthcare operations for Equitas Health’s medical centers. This position provides direct supervision to the clinic managers and the Mobile Health site manager. This position ensures compliance and standardization of medical center operations policies and procedures. The AD of Practice Operations works in collaboration with the clinic managers, the finance department, shared service department and all service lines for identifying areas in need of process improvement and developing implementation plans around activities related to practice management, clinical quality improvement and administrative services.

SALARY : $113,300- $135,900

  • ESSENTIAL JOB FUNCTIONS :

    Essential functions of the job include but are not limited to : supervising; relationship building; traveling; driving and having reliable transportation; utilizing computer applications or other automated systems such as spreadsheets, calendar, email and Epic (EMR) in performing work assignments.

    MAJOR AREAS OF RESPONSIBILITIES :

    • Provide oversight for the business and practice operations in Equitas Health medical centers and MOVe Express Mobile Unit.
    • Supervise clinic managers and administrative support staff in day-to-day operations. This Includes hiring, coaching, terminating, and recruiting, as well as other administrative management functions, such as payroll and expense management.
    • Maintains close collaboration with clinical support (providers and nursing) dental, mental health, psychiatry, and pharmacy at each of the medical centers on business development, performance improvement and continuity of care.
    • Utilizes EMR and operational dashboards to monitor and evaluate performance of each health center toward annual fiscal and performance goals.
    • Acts as subject matter expert for guidance and coaching of daily operations for clinic managers and support staff.
    • Oversees provider onboarding and offboarding plans and coordinates with credentialing, billing and 340B team to ensure the organization is compliant with written policies and procedures.
    • Collaborate with Associate Director of Learning and Development to ensure standard onboarding and training is offered to patient access representatives and other administrative support staff.
    • Develop, review, and revise medical center policies and procedures in compliance with Federal, State and Equitas Health standards. Ensures staff in medical centers are trained in related policies and procedures. Conducts periodic audits and evaluations to assess operational workflows and their implementation.
    • Compliance with Patient Centered Medical Home certification requirements through National Committee for Quality Assurance.
    • Maintains close collaboration with the Associate Director of Shared Services to ensure to meet Equitas Health’s goals and expectations for patient access and care coordination.
    • Identify opportunities and implement new workflows to reduce variation, reduce cost, improve access and improve quality
    • Evaluate performance and competency of direct reports during orientation and annually per Equitas Health policy.
    • Works collaboratively with the Epic Support team and the Informatics department to identify best practices and opportunities to enhance operations and improve efficiencies.
    • Maintains and develops strong working relationships with local, regional, and national agencies involved in HIV and LGBTQ healthcare.
    • EDUCATION / LICENSURE :

    • Bachelors in healthcare management / administration with administrative experience required.
    • Masters in healthcare administration or business administration preferred.
    • Knowledge, Skills, Abilities and other Qualifications :

    • Minimum of five (5) years of experience in working in healthcare environment.
    • Minimum of three (3) years of outpatient clinic management experience
    • Strong written and verbal communication skills a must
    • Must have sensitivity to, interest in and competence in cultural differences, HIV / AIDS, minority health, sexual practices, and a demonstrated competence and interest in working with persons who are non-binary, transgender or gender fluid.
    • Proficiency in all Microsoft Office applications and other computer applications required
    • Previous experience with Epic (EMR) strongly preferred.
    • Regular and predictable attendance is required
    • Must have reliable transportation and valid driver’s license.
