At Catapult, we are assisting our client, a 50 year-old firm with deep roots in NC, to find an experienced Project Administrator to join the team in their Raleigh, NC office. This full-time role is ideal for someone who is committed to excellence, thrives in a fast-paced environment and enjoys supporting a collaborative team.

About the Role :

As a Project Administrator , you'll provide vital support throughout the design and construction process-ensuring project documentation is accurate, organized, and delivered on time. In addition to project-related tasks, you'll also help maintain smooth daily operations at our Raleigh office. This is a highly collaborative role, ideal for someone who thrives on organization, communication, and team support in a dynamic, people-first environment.

Key Responsibilities :

Design and Construction Support (Approx 80% of your day)

  • Coordinate and assemble project specifications into complete, formatted spec books
  • Track project deadlines and proactively support project managers and technical staff
  • Prepare and manage AIA contracts and related documentation
  • Process submittals : download, log, assign reviewers, and return to contractor
  • Process RFIs : log, distribute for review, return responses, and maintain records
  • Ensure reviewed documents are accurate, consistent, and properly filed
  • Generate and distribute weekly reports of outstanding submittals and RFIs
  • Maintain CPR (Change Proposal Request) logs and file associated correspondence

Office Administration Support (Approx 20% of your day)

  • Open and close the office daily and assist with office upkeep and shared space organization
  • Greet any visitors and support a welcoming, professional front office experience
  • Coordinate occasional office events
  • Manage supply inventory, mail handling, and basic facility needs
  • Liaise with building management and coordinate vehicle maintenance logs
  • Provide administrative support for special projects as needed
  • What You Bring :

  • 5+ years in an administrative, project coordination, or AEC (Architecture, Engineering, Construction) industry support role
  • Alignment with the company's core values and people-first culture
  • Exceptional organizational skills with a strong eye for detail
  • Proficiency in Microsoft Office and PDF tools (Adobe, Bluebeam, etc.)
  • Experience with Deltek Vision or Vantagepoint is a plus
