Position Purpose : Provide for excellent customer service to clients through phone and
drop-in services, provide clerical support to the other team members; provide excellent organizational leadership to ensure the clerical functions and requirements of the office are completed in an effective and efficient manner
Primary Responsibilities :
Client Responsibilities
- Greet clients and visitors in a professional, welcoming, and engaging manner; set appropriate boundaries with clients
- Answer the telephones in a professional manner with an emphasis on listening to the individuals concerns, protecting client confidentiality and determine the appropriate course of action (scheduling, screening, voicemail, etc.)
- In conjunction with recovery coaches, conduct client intake process, educating the client on recipient rights, confidentiality, and release of information. Ensure all intake paperwork is completed, dated, and signed by the client
Office Organization
Ensure office area is pleasant, clean, organized, and orderly. Regularly inventory and stock office supplies as needed to maintain efficient office functionMaintain and update the clients’ record, which includes timely filing of both clinical and other required documentationMaintain the outpatient sites clinical and coaching schedules; as appropriate, schedule clients for the services based upon information collected, funding source requirement and recommendations of the clinical and recovery coaching staffProvide support to the clinical and recovery coaching staff as neededClerical Responsibilities
Enter, confirm or update client demographic, financial and funding information into Medics, REMI and / or other electronic record as required by the funding sourceCollect client payments, co-pays, deductibles, and coordinate with clinical / recovery staff if assistance is needed to collect balances dueTrack units of services and authorizations in the electronic health record; providing reminders to clinical staff when an authorization for services must be securedAssist with reviewing the Medics billing report and the encounters / services provided for accuracy and assist with sending data to the autopostRecord cash receipts, balance cash logs to actual cash balances weekly, and complete weekly bank depositsSubmit cash receipt reports to Accounting on a monthly basisFax or secure email monthly reports to probation officers / referral sourcesOther duties as assign by the Community Engagement ManagerPrincipal Organizational Relationship :
Reports to Community Engagement ManagerPreparation, Experience and Skills :
Associates degree in business or related field with one to three years relevant experience OR high school diploma / GED with at least five years experienceMust demonstrate the ability to provide excellent customer service, maintain healthy professional boundaries with clients and protect confidential informationMust have excellent organizational and communication skillsMust have excellent computer skills, proficient with Office 365Must have strong orientation toward a team approach to service delivery
