Human Resources Coordinator

The Human Resources Coordinator will report to the Manager, Human Resources Business Partner (HRBP) and will work closely with other Human Resources (HR) colleagues. The HR Coordinator will act as a dynamic partner to the organization, and will be readily available to take on new tasks and opportunities to learn as they arise. Responsibilities include but are not limited to the employee lifecycle processes of recruitment, onboarding, engagement implementation which includes execution and strategy, development and training, retention, and offboarding. This position also requires communication and maintenance of employee status changes, updates to employee records, maintenance of electronic personnel files within the Human Resources Information System (HRIS), ability to report on employee data and analytics, and other general administrative duties.
Responsibilities
- Recruitment : Partner with Manager, HRBP and Talent Acquisition Partner on recruitment, which includes : support of applicant tracking, diverse recruitment, employment brand on external career sites, candidate selection, and coordination with internal stakeholders and candidates
- Assist Talent Acquisition Partner in the administration of the Applicant Tracking System (ATS); help to maintain accurate and timely job postings
- Onboarding : Prepare paperwork and schedules for seamless new-hire onboarding process
- Coordinate with cross-functional departments to deliver an exceptional onboarding experience
- Conduct new hire orientation in friendly and engaging manner; ensure new hires are informed of ESRT's policies, procedures, programs, and benefits on their first day
- Partner with Information Technology team to ensure new hire set up is complete and functional
- Coordinate 30 and 60-Day Check Ins, in partnership with Manager, HRBP, to prompt new hire engagement during their onboarding period
- Coordinate seating charts and desk moves for new hires in partnership with the Office Services team
- Complete Forms I-9, verify I-9 documentation, and maintain I-9 files
- Prepare new employee files
- Drive improvements and updates to our onboarding process based off of feedback from employee check ins and surveys
- Engagement : Responsible for employee appreciation and engagement programs; plan and execute monthly employee events and adapt based off of employee feedback
- Support in the implementation, coordination, and strategy of ESRT's volunteer programs; maintain ESRT's Volunteer Time-Off Day procedures, track employee volunteer hours and reports, coordinate volunteer events
- Support in the implementation and strategy of ESRT's Internship Programs, which includes support of recruitment, program coordination, program development, and other duties
- Ownership of HR Communication email mailbox; field all HR related inquiries and provide employees with great customer service
- Maintain and contribute to the open-door culture of the HR team; act as a liaison and representative of the HR team to entire employee population; act as a culture carrier of ESRT
- Development & Training : Manage multiple internal training compliance programs including user management and audit of use
- Coordinate communication and memos to inform company on trainings
- Compile reports of employee training and manage follow up to ensure appropriate compliance and accountability
- Maintain up-to-date knowledge of federal and state employment law and execute internal and external compliance strategy
- Retention : Support the implementation of all employee surveys, compile the results, and correlate data
- Compose and distribute monthly newsletter to inform employees of upcoming engagement events and ESRT related news
- Create and distribute internal communications and memos
- Assist in the communication, interpretation, and upkeep of employee handbook, employee directory, and organizational chart, and contribute to policy development
- Offboarding : Maintain confidentiality, integrity, and decorum while processing both voluntary and involuntary terminations
- Assist in the recovery of company assets including company property and identification badges
- Coordinate with the Information Technology team to revoke system access
- Ensure completion of termination related paperwork
- Coordinate competition of Exit Survey and Exit Interviews if applicable
- Handle and process all administrative tasks for all aspects of the employee lifecycle including data entry in HRIS and audits for accuracy and compliance, and abide by all deadlines
- Ensure compliance with local and federal regulations and applicable employment laws
- Own and manage HRIS, which includes but is not limited to : employee personnel files, data oversight, organizational chart, and electronic document management system
- Produce, correlate, analyze and distribute various HR reports
- Maintain confidentiality and integrity related to all HR and employee functions
- Escalate process issues to Manager, HRBP and provide recommendations for improvement
- Assist and provide support to Manager, HRBP in daily tasks
