Administrative Assistant

We are looking for a dedicated Administrative Assistant to join our team in Grand Rapids, Michigan. In this long-term contract role, you will play a vital part in supporting the daily operations of a dynamic educational environment. Responsibilities :

  • Oversee daily administrative tasks, such as scheduling, maintaining records, and managing communications.
  • Translate documents and materials from English to Spanish to ensure effective communication with diverse stakeholders.
  • Coordinate meetings, school events, and logistical arrangements to support programs and initiatives.
  • Manage budgets, process invoices, and ensure adherence to school policies and procedures.
  • Provide supervision and guidance to office staff and volunteers, fostering a productive work environment.
  • Act as a liaison between school leadership, staff, families, and external parties to facilitate clear communication.
  • Address operational challenges promptly and implement solutions to maintain efficiency.
  • Support educators and staff with administrative needs, ensuring smooth workflow.
  • Assist with receptionist duties, including answering inbound calls and greeting visitors.

Requirements :

  • Minimum of 3 years of experience in office management or administrative roles, ideally within an educational setting.
  • Proficiency in both English and Spanish, with strong verbal and written communication skills.
  • Exceptional organizational and multitasking abilities to handle a fast-paced environment.
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and the ability to learn school-related software.
  • Strong interpersonal skills and the ability to connect with individuals from diverse backgrounds.
  • Positive attitude and a commitment to fostering an inclusive and welcoming atmosphere.
  • High school diploma or equivalent required; an associate or bachelor's degree is preferred.
  • Problem-solving skills and a proactive approach to addressing operational needs.
