Personal / Admin Assistant
We are seeking a highly organized and discreet Personal / Admin Assistant to support the operations of a private family business with multiple entities across various industries. This role blends administrative, personal, and light accounting responsibilities, requiring a proactive individual who can manage diverse tasks with professionalism and confidentiality.
Key Responsibilities
- Manage calendars, appointments, and travel arrangements across business and personal schedules
- Prepare meeting agendas, take minutes, and follow up on action items
- Draft and manage correspondence, reports, and presentations
- Liaise with accountants, attorneys, vendors, and staff across different business entities
- Track deadlines, renewals, and compliance documents for various companies
- Assist with document management and inter-entity communications
- Process invoices, receipts, and reimbursements
- Assist with expense tracking and monthly reconciliations
- Maintain records for petty cash, credit card statements, and vendor payments
- Support preparation of financial reports and liaise with external accountants as needed
- Handle sensitive financial, legal, and personal information with utmost confidentiality
- Maintain secure filing systems and digital records
