Position Summary

We are seeking a highly skilled and detail-oriented Senior Paralegal with specialized experience in real estate to join our legal team. The Senior Paralegal is responsible for providing both legal and administrative support at a professional level to ensure smooth operations within the organization’s legal and corporate functions. This role includes liaising with counsel, staff, and clients to manage the flow of documents, data, and corporate information. This position is also directly responsible for integrating paralegal and administrative functions with the broader operations and management teams at Walton. The Paralegal position requires necessary teamwork skills to work effectively with management and staff to accomplish the strategic goals of the organization, and as such the position requires discretion in handling confidential, sensitive, and timely information.  A successful candidate for this position will be required to work in the office from Monday through Thursday, which emphasizes the importance of in-person interactions and collaboration within the team. There is flexibility with the option to work from home on Fridays.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following :

  • Manage execution and signature process for all legal documents, including reviewing and preparing documents, coordinating the collection of digital and physical signatures, notarizing as required, and ensuring that all finalized documents are scanned, filed and distributed to relevant parties.
  • Make the necessary revisions to closing documents, obtain required signatures and notarizations, and ensure that all finalized documents are scanned, filed and delivered back to closing agent.
  • Draft, prepare, and proofread legal / transactional documents and correspondence.
  • Organize and maintain legal files within the company’s electronic filing systems.
  • Assist with document control processes, ensuring the accuracy, accessibility, and integrity of legal documents.
  • Provide strong corporate governance support with the formation, registration, renewal, and dissolution of corporate entities across various jurisdictions.
  • Maintain corporate records, minute books, resolutions, and filings.
  • Maintain accurate and current corporate organizational charts, reflecting legal entities and ownership structures. Ensure charts are updated promptly following corporate changes such as formations, mergers, dissolutions, or transfers of ownership.
  • Review, process, and approve legal invoices.
  • Perform other related legal duties as assigned.

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Bachelor’s Degree in related area and / or equivalent combination of relevant education and professional experience.
  • Must be a commissioned Notary of Public in the State of Arizona, in good standing.
  • Minimum of five (5) years relevant experience in managing a high volume of work in a fast-paced environment.
  • Strong working knowledge of industry standard software such as Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, MS Teams, SharePoint, OneDrive, Visio, and DocuSign. Comfort and interest in learning and adapting to new applications and technologies as needed.
  • Ability to prioritize, multitask, and maintain accuracy and attention to detail while communicating effectively across all levels of the organization.
  • Strong understanding of legal documents, including contracts and agreements, with the ability to review, interpret, and manage them appropriately.
