We are a private, data-driven healing retreat in Carlsbad, CA designed for people navigating complex illness—offering IV therapy, advanced detox protocols, and soul-level care that honors the whole person. We're not a clinic. We're not a spa. We're a sanctuary for transformation—built for those who’ve “tried everything” and are still searching for answers.
And now, we're seeking an experienced, heart-centered Clinic Manager to help lead this work from the inside out.
About the Role
The Clinic Manager is the grounding force behind our patient experience and daily operations. You’ll hold the rhythm of the clinic, support our team of skilled practitioners, and ensure each client’s journey flows with clarity, compassion, and precision. You’ll lead both people and systems with emotional intelligence, strong boundaries, and a clear sense of mission.
This is a full-time, in-person leadership role reporting directly to our founders and COO. You’ll act as their right hand in managing the operations of our Carlsbad retreat space.

Your Core Responsibilities
✨ Patient Experience & Flow
Greet and check in patients with warmth and professionalismManage appointments, complex booking of rooms and resources, reschedules, and new patient onboardingSupport communication across phone, email, and text with grace and efficiencyMaintain confidentiality and compliance (HIPAA) at all timesFacilitate payment and check-out processes with accuracy and care✨ Clinic Operations & Environment
Open / close the clinic for daily operations and special eventsMaintain and improve clinic systems for efficiency and patient flowOversee inventory management and vendor relationshipsKeep treatment rooms and reception areas clean, tidy, and fully stockedSupport back-of-house needs like laundry, restocking, and light plant careHandle room flips and light cleaning with reverence for the healing space✨ Leadership & Administration
Manage front desk staff and support practitioner coordinationMonitor accounts receivable and coordinate with bookkeeperCreate weekly performance reports and operational updates for leadershipOrganize team meetings, draft agendas, and ensure timely internal communicationLead onboarding and support for new hires and practitionersMaintain and refine office SOPs and team handbookRetail / shipping coordination with retail / shipping manager / coordinator✨ Special Projects
Assist with event logistics, clinic retreats and community workshopsContribute to the creation of client education and email templatesOptional : Social media support, if skilled or interestedServe as an operations partner in refining our one-of-a-kind retreat modelYour Experience & Skills
Required :
2+ years in a wellness, clinical, or administrative operations roleStrong communication skills (verbal and written)Proficiency in Google Workspace and scheduling platformsExperience managing calendars, appointments, and front desk systemsExcellent organization, problem-solving, and emotional regulation under pressureA genuine passion for healing, wellness, and root-cause careAbility to lift 25+lbsSelf-motivated and proactive : You take initiative, stay productive during quieter moments, and don’t wait to be told what needs doing. You’re a self-starter with a grounded, driven attitude and the ability to prioritize tasks effectively in a dynamic environment.Preferred :
Experience with Go High Level, CERBOFamiliarity with IV therapy, acupuncture, and / or bioregulatory medicineBackground in hospitality or luxury wellness environmentsSocial media content coordination or light graphic design experienceInterest in complex chronic illness, mold, metals, parasites, or trauma-informed careWhat You’ll Love
