About The Role

As a Security Scheduling Coordinator , you'll be a key part of our regional team in Pennsylvania. This is a hands-on role focused on the daily execution of our scheduling plan. You'll work closely with a small team of schedulers and report directly to the Master Scheduler, ensuring our schedules are efficient, compliant, and meet client needs.

Key Responsibilities

  • Scheduling & Coordination : Support the regional scheduling team in the daily management of security guard schedules to ensure full coverage across all client sites.
  • Client Communication : Assist with handling day-to-day scheduling requests and issues from our diverse client base. Client communication is essential part of the job.

Schools : Coordinate coverage for last-minute after-school events and adapt to seasonal changes, including long breaks.

  • Synagogues : Help ensure specialized coverage is in place for High Holy Days and other religious events.
  • Commercial Clients : Respond to last-minute shift changes and sudden callouts, particularly on weekends and after major events or on paydays.
  • Operational Support : Utilize our scheduling platform, Celayix, to maintain accurate schedules, manage guard availability, and fill open shifts.
  • Performance Reporting : Assist in tracking and reporting on key performance indicators (KPIs) such as open shifts, non-billable overtime, and schedule fill rates.
  • Problem-Solving : Help resolve immediate staffing challenges, such as unexpected callouts or no-shows, to ensure all sites remain secure.

    • Qualifications

  • Experience : 1-2 years of experience in scheduling, dispatch, or a similar role, preferably in a high-volume, dynamic environment.
  • Industry Knowledge : Prior experience in the physical security or a related service industry is a significant asset.
  • Technical Proficiency : Proficiency with scheduling software is required. Experience with one or more of the following platforms is highly preferred :

  • TrackTik
  • GuardsPro
  • Deputy
  • WorkWave
  • Snap Schedule 365
