Accounts Payable Coordinator

Processes account payable invoices for both internal and external suppliers according to company policy and procedures. Assists with the operation of an efficient cash application program within company policies. Responsible for the accuracy of customer account balances.

Education : Minimum Associates Degree in Accounting or related experience

Experience : Industry experience not required

Minimum 1 year of experience in a similar role

Microsoft Office with advanced Excel experience required

ERP Experience required, JD Edwards (JDE) a plus

Exceptional problem solving and analytical skills along with :

  • Exceptionally detail-oriented and organized
  • Strong data entry skills : typing & 10 key
  • Ability to work independently with a high level of accuracy
  • Strong math skills
  • Ability to communicate effectively both in writing and verbally
  • Service-oriented

Process accounts payable invoices for payment in an efficient and timely manner, ensuring applicable vendor discounts are being taken.

  • Acquire required approvals per policy for invoices with discrepancies or no receiving documentation.
  • Process accounts payable payments per policy.
  • Respond to vendor inquiries in a timely manner.
  • Manage vendor onboarding and ensure valid W9 / W8 tax documents are on file for current active vendors.
  • Record sales & use tax and prepares the returns on a monthly basis.
  • Prepare annual 1099 and unclaimed funds reporting and files with government agencies.
  • Apply funds received daily to customer accounts according to customer remittance to ensure the accuracy of customer account balances.
  • Contact customers regarding issues with remittance information.
  • Process customer credit card transactions daily.
  • Maintain accurate and organized records for customer and vendor responsibilities.
  • Reconcile cash transactions to the bank statement daily.
  • Assist with invoicing function as needed, including processing and printing of automated invoices, export invoices, credit memos, proforma invoices, and manual invoices.
  • Assist management with journal entries and reporting as requested.
  • Prepare monthly account reconciliations using the approved software program.
  • Supply auditors with requested documents and support.
  • Assist with updating documentation of business processes and policies.
  • Participate in projects and review to identify continuous improvement opportunities.
  • Perform other duties as assigned.
  • Management Responsibilities Level : Individual Contributor

    Physical Requirements : Office environment with a majority of the time at a desk, occasional lifting up to 20 pounds.

    Work Authorization : Legal authorization to work in the US is required.
