SUMMARY
Under the supervision of the Human Resources Manager, the HR Assistant is responsible for handling routine office tasks to ensure efficient HR operations, including data entry, filing, document preparation, and assistance with employee inquiries.
ESSENTIAL FUNCTIONS
- Performs HR customer service functions by answering employee requests and questions; makes photocopies, faxes documents, and performs other clerical functions; assists and / or prepares HR correspondence
- Assist with front office coverage during breaks, lunch, or absences. Greeting visitors, answering phones and directing inquiries appropriately
- Maintains / generates certain HR documentation as requested
- Assists in preparation for all trainings in Santa Maria offices and the training area
- Responsible for maintaining and updating personnel records for Community Care Licensing (CCL) and Tri-Counties Regional Center (TCRC) requirements for Santa Maria staff – Including : medical, OSHA, and employee applications
- Ensures that all confidential documents are stored securely & access is limited
- Maintains and updates the Training Documentation (Tickler / Spreadsheet) System for both Santa Maria and Santa Barbara programs
- Documents Direct Support Professional I / II testing and training for Santa Maria staff
- Assist with the offboarding process for departing employees, ensuring all necessary paperwork is completed, accounts have been disabled, and company assets have been returned.
- In conjunction with the HR team, attends HR related events between Santa Maria and Santa Barbara as needed
- Comply with all Momentum WORK Inc., CCL, TCRC & CARF policies / procedures
- May need to be available during any disasters, according to the disaster plan
- Assists the HR team with various research and / or special projects, as assigned

QUALIFICATIONS
High School diploma or equivalent required; Associate degree in Human Resources, Business Administration, or related field preferredDemonstrated ability to maintain the highest standards of confidentiality regarding persons served and other related informationExcellent verbal and written communication skillsPayroll experience and working knowledge of wage and hour laws preferableKnowledge of basic HR practices and employment law is a plusAbility to complete tasks with numerous interruptionsAbility to work with little direct supervision, strong organizational and time-management skillsExcellent computer proficiency (esp.
