We are seeking a proactive, detail-driven Executive Assistant to support a senior executive leading operations, marketing, and strategy across several high-growth consumer / wellness brands based in Orange County. You’ll be the right hand who translates priorities into action, drives follow-through, and keeps cross-functional workstreams on track. The role offers exposure to multiple industries and a clear runway to expand responsibilities as the portfolio scales.

Responsibilities :

  • Orchestrate a complex, multi-entity calendar; sequence priorities and protect focus time
  • Join key meetings to capture action items, owners, and deadlines, then drive timely follow-through
  • Coordinate across internal teams, vendors, and outside partners to keep projects moving
  • Research upcoming events, launches, and strategic initiatives; synthesize findings into briefs
  • Track timelines with creative, marketing, and operations leads; escalate risks early
  • Build crisp decks, updates, and reports for leadership and investor readiness
  • Help implement scalable systems and workflows as the organization prepares for continued growth
  • Support app rollouts, special projects, and brand activations as assigned

Requirements :

  • 3+ years in executive support, marketing coordination, or operations (startup / agency experience a plus)
  • Proficient with modern productivity and project tools (e.g., shared calendars, PM platforms, collaboration suites)
  • Familiarity with creative / brand workflows and vendor / agency coordination
  • Excellent written communication, synthesis, and presentation skills
  • Resourceful, proactive, and comfortable in fast-paced environments
  • A clear, confident communicator who aligns stakeholders and maintains momentum
  • Ultra-organized, adaptable, and accountable—strong at anticipating needs and solving problems
  • Schedule : Full-time with flexibility required

    Location : On-site in Costa Mesa, CA (perhaps potential for hybrid down the line)
