Position Summary
Anakeesta is looking for a hands-on, highly organized Events & Group Coordinator to bring our private events and group visits to life! This person will be a key player in executing memorable guest experiences—from setting up elegant banquets to welcoming tour buses at the front gate. This position is responsible for setting up and staffing various events sold by the sales staff for all properties within the organization. This position works directly with internal departments and various rental companies to meet the contracted needs for each event. With direction from the Sales Manager, the event coordinator will develop event plans along with other internal department staff to accommodate the needs of our customers. Key Responsibilities
Private Events
- Coordinate and execute set-up and tear-down for private banquet and group events at Anakeesta and WildSide.
- Manage private event timelines and stay on-site during events as needed.
- Collaborate with internal departments and attend pre-event planning meetings with the Sales Manager.
- Responsible for keeping the park teams up to date with any event changes.
- Assist client with menu development and oversee execution of food / beverage details on the day of the event in collaboration with the Banquet Captain.
- Work through details with event hosts including room layouts, tech requests, décor, transportation, entertainment, etc.
- Ensure all signage, décor, and event materials are organized and in place before the event, and removed, cleaned, and stored properly afterward.
- Conduct post-event meeting with client to and banquet teams to search for areas of opportunity.
- Support school group performances (band / choir) with seating prep.
Group Guest Services
Assist with site tours for potential clients, corporate groups, and planners.Distribute tickets and ensure a smooth arrival experience for tour bus and school groups.Serve as onsite point of contact for large groups.Occasionally coordinate ticket package drop off at hotels for groups.Cross-train in group ticketing services to assist during staff time off or peak times.Respond to and fulfill donation requests includes gift basket prep and ticket mailing.Performs various tasks assigned by the Sales Manager.Promotional Events
Assist with the planning and execution of marketing events.Attend and assist with off-site and on-site promotional booth events collaborating with other marketing events.Represent the park at trade shows, conventions, and tourism events.Drive company van or Can-Am for group shuttle needs.Qualifications
Three (3) years prior event coordination or hospitality experience preferred.Excellent written and verbal communication skills.Cooperative attitude and willingness to collaborate with other teams.Comfortable with physical event setup (moving tables, signage, décor, etc.)Ability to work flexible hours including weekends and evenings.Friendly, outgoing, and professional demeanor.Comfortable interfacing with large groups, vendors, and VIPs.Self-starter with ability to prioritize and manage multiple projects on different timelines.Ability to work with minimal direction.Excellent follow-through skills, with superb attention to details and organization skills.Strong prioritization skills and a track record of consistently going above and beyond with out-of-the-box thinking.Bonus Points If You...
