Program Assistant
Under the supervision of the HR Director, the Program Assistant is responsible for supporting programs they oversee and any associated administrative tasks to ensure smooth daily operations, including document preparation, reports, data entry and backup coverage for other administrative roles.
Specific Job Duties
- Manage incoming calls, provide information to callers, and route calls to the appropriate department or staff member.
- Monitor and manage the electronic door system to control building access and greet visitors.
- Sort and distribute incoming and outgoing mail, ensuring timely delivery to the appropriate departments or staff.
- Scan documents, organize digital files, and maintain accurate filing systems for both digital and physical documents.
- Enter referral information received from phone calls into the appropriate systems or databases.
- Efficiently navigate and operate multiple computer systems to enter data, print reports, and complete administrative tasks.
- Print necessary documents, organize them for distribution or filing, and ensure files are properly maintained and updated.
- Compiles and / or assists with compiling program data, type reports, and correspondence on a daily basis or as needed.
- Compiles program reports for review by department heads and program managers and files all program reports in a timely manner.
- Maintain all program report forms; may assist in designing program report forms and / or ordering forms and other inventory if needed.

Education
Prefer an Associate's degree and / or years of experience.Experience
An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job may be substituted.Accurate spelling, grammatical usage, and excellent communication skills.Skills & Abilities
Computer Skills
Good working knowledge of MS Office and other applicable software as necessary.
