Executive Assistant to the CSO and CEO (Contract)

As a Contract Executive Assistant to the Chief Strategy Officer and CEO, you will play a critical role in optimizing their time, managing complex calendars, and ensuring smooth day-to-day operations. This role is ideal for a highly organized, proactive professional who thrives in a fast-paced, dynamic environment. You will handle scheduling, travel logistics, meeting preparation, and communication flow, enabling our founders to focus on driving Metropolis' strategy and growth.
What you'll do :
- Provide high-level calendar management for CSO, including scheduling, coordinating, and confirming meetings with internal and external stakeholders
- Collaborate with our Administrative Director to support the CEO to manage internal correspondence
- Anticipate and resolve scheduling conflicts, ensuring appropriate time for meeting preparation, travel, and follow-ups
- Coordinate travel arrangements, including flights, accommodations, transportation, and itineraries, aligning with executive preferences and company policies
- Prepare executives for meetings by gathering materials, researching attendees, and ensuring all logistics are in place
- Track and follow up on key action items, ensuring priorities stay on schedule
- Facilitate communication between executives, teams, and external partners, providing timely updates on schedules and priorities
- Partner with other administrative staff to align leadership calendars and maintain team operating cadences
- Process expense reports, invoices, and other administrative tasks to support smooth operations
- Maintain discretion and confidentiality when handling sensitive company information
- Represent Metropolis professionally in all interactions, creating a positive and seamless experience for employees, partners, and stakeholders
What we're looking for :
Able to provide temporary support for 6-7+ months4+ years of experience supporting senior executives, preferably in a high-growth or fast-paced environmentExperience supporting multiple executives, ideally foundersExceptional verbal and written communication skillsStrong calendar and scheduling management skills, with proven ability to manage competing prioritiesExcellent organizational skills, attention to detail, and ability to anticipate needsStrong communication and interpersonal skills, comfortable interacting with senior leaders and external partnersProven ability to prioritize tasks and manage time efficiently in a dynamic environmentProficient in Google Workspace and Asana; ability to quickly learn new tools and systemsMetropolis Technologies is an equal opportunity employer.
