Program Coordinator (Administrative)

QSSHire is partnering with a cleared federal contractor to identify an experienced Program Coordinator to provide administrative and operational support to a dynamic Front Office team. In this role, you'll serve as the key liaison between leadership, staff, and external partners, ensuring smooth day-to-day operations and efficient coordination of multiple administrative and program activities. You'll work in a fast-paced environment that values attention to detail, proactive communication, and professionalism.

In This Role, You'll :

  • Manage calendars and meeting schedules for Front Office and program leadership.
  • Coordinate logistics for meetings, conferences, and events, including booking rooms, preparing materials, and managing follow-up actions.
  • Order office supplies and coordinate procurement of equipment and resources.
  • Handle visitor access requests, badging, parking passes, and building access logistics.
  • Support employee onboarding and offboarding activities (e.g., access setup, phone lists, seating charts).
  • Maintain and update organizational charts, distribution lists, and seating assignments.
  • Assist with booking travel, processing reimbursements, and tracking expenses.
  • Manage administrative workflows such as timekeeping, task tracking, and task delegation.
  • Coordinate the migration of documents and shared resources from network drives to HIVE.
  • Prepare, review, and update presentation decks, reports, and briefing materials.
  • Monitor and ensure timely completion of taskers from parent or partner organizations.
  • Serve as the point of contact for facility and IT service requests.
  • Support internal communications by preparing status updates, announcements, and staff notifications.
  • Perform additional administrative or coordination duties as assigned.

You'll Succeed Here If You Have :

  • Demonstrated experience providing administrative or program coordination support in a professional, government, or contractor environment.
  • Strong organizational, scheduling, and time management skills with the ability to handle multiple priorities simultaneously.
  • Excellent written and verbal communication skills with attention to clarity and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as SharePoint, HIVE, or similar systems.
  • Ability to work independently and collaboratively while maintaining professionalism with senior leadership and stakeholders.
  • Bonus Points If You Have :

  • Experience supporting senior executives or front-office operations in a cleared environment.
  • Familiarity with government or contractor administrative processes (travel, timekeeping, onboarding).
  • Experience managing task trackers, workflow tools, or performance dashboards.
  • Background in coordinating building, facility, or IT support requests.
  • Knowledge of quality assurance and process improvement methods.
