Job Description :

The Administrative Assistant for Student Life is an integral member of the Student Life team at Raritan Valley Community College, focusing on key areas such as student engagement, leadership development, and program support. This position plays a crucial role in the organization, planning, and execution of events and programs that cultivate a dynamic and inclusive campus culture. The Administrative Assistant ensures the smooth day-to-day operations of the department, including review of budget, office systems, and comprehensive support for student clubs, organizations, and events. The role requires strong organizational, communication, and collaboration skills to foster a student-centered environment while maintaining effective partnerships with faculty, staff, and external community stakeholders.

Essential Duties :

Assist in creating a positive and welcoming atmosphere in the Student Life office, ensuring students and visitors feel supported and valued. Promote a student-centered culture by actively engaging with students in-person, via email, and through social media.

Monitor the department's budget and assist with financial reporting, ensuring effective use of resources. This includes managing purchase orders, ordering supplies, tracking receipts, and helping to maintain fiscal accountability for student life programs and activities.

Assist in organizing and providing logistical support for a wide variety of student-centered events, including student club meetings, promotional tables, leadership development activities, and campus-wide events such as induction ceremonies, college trips, and leadership awards. The specialist is responsible for securing venues and coordinating event details to ensure their successful execution.

Foster collaboration to support campus-wide initiatives and contribute to the development of a thriving campus environment.

Assist with the evaluation and enhancement of student life programs. Work with the Director and the Student Life Team to implement best practices in program planning, promotion, and evaluation to increase student participation and engagement.

Requirements :

Associate's Degree and / or 3-5 years of relevant experience in administrative support in a student services, academic or community setting.

Expertise in office management, including the use of Microsoft Office Suite (Word, Excel, PowerPoint).

Flexible schedule, including occasional evenings and weekends for events and programs.

Excellent written and verbal communication skills, with the ability to interact effectively with diverse populations.

Proven ability to manage multiple priorities and meet deadlines.

Ability to plan, execute, and evaluate programs and events.

Ability to sit for extended periods at a desk, work on a computer, and manage physical materials such as event supplies, promotional materials, and office equipment.

Must be able to lift and carry materials up to 25 pounds as needed for event setup and office organization.
