Overview
Library & Information Science Administrative Assistant II at Southern Utah University. Provide administrative support for the Unit Business Manager, Library Department Chair, and Library faculty. Collaborate with the Director of the School Library Media Program and Outreach Librarian. Perform a variety of clerical duties including word processing, budget accounting, planning and organizing Library events, submitting and processing travel documentation for Library faculty and staff. Maintain student worker records, complete hiring paperwork, and process student worker payroll. Supervise the student administrative assistants. Preserve Library records. Purchase supplies for the department. Perform sales and fulfillment of orders for SUU Press, including maintaining an inventory of available publications.
Responsibilities
- Serve as the initial point of contact for the Library's administrative office and as backup for the Library Business Manager. Provide administrative support for the department. Support the Director of the Online Library Media Endorsement program by maintaining retention and graduation data and communicating with students and faculty to create a seamless online educational experience. Provide support for Outreach activities and events. Serve as a standing member of the Library Outreach Working Group. Participate as an active member of the Library Safety Committee and attend pertinent meetings and training sessions.
- Serve as a member of the Library Administration Team. Manage department budgets as well as grants and contracts. Oversee CONNECT grants, budgets, and reimbursements. Manage and maintain records for hiring and other essential HR processes. Manage travel authorizations and reimbursements for faculty and staff. Supervise Library administration student employees and manage hiring and payroll processing for all library student employees.
- Provide administrative and budgetary support for additional Library areas, including, but not limited to, Outreach, User Experience, Scholarly Communication, SUU Press, and University Archives and Special Collections.
- Perform general office duties, including computer applications (Word, Excel, Banner, Argos, etc.) and related file storage maintenance.
- Serve as the sales representative of the SUU Press and assist with publication setup and ISBN / ISSN assignment.
- Interact with a consistently positive, professional attitude and rapport with administrators, faculty, staff, students, and the public.
- Other duties as assigned.
Minimum Qualifications
Graduation from a standard high school and two-year secretarial certificate or equivalent recent work experience required.Computer applications to include Microsoft Suite and Google Platform required.Eye for details and excellent proofreading skills.Experience with accounting and purchasing practices and principles.Must be a self-starter with the ability to handle multiple tasks, high-stress situations and follow tasks through to completion.Excellent people skills to deal with a diverse group of individuals; team player.Utilization of computer word-processing and spreadsheet software.Preferred Qualifications
Ability to use SUU accounting computer systems preferred.History of dependability, reliability, initiative, neat appearance, outgoing personality, and common sense.Priority given to experience in an office setting.Desktop publishing preferred (i.e., Adobe InDesign, etc.).SUU Banner system and Argos reporting software preferred.Position is contingent on funding.
