Our client, a leader in commercial real estate, is seeking a professional and detail-oriented Real Estate Services Administrator to support daily property management operations in Philadelphia, PA . This is a full-time, on-site position operating Monday-Friday 8 : 00 a.m.5 : 00 p.m . This position starts as a 5.5-month contract opportunity and pays $26-28.50 per hour based on experience. This position is ideal for someone with 5 years of administrative experience who thrives in a fast-paced, service-oriented environment. The Real Estate Services Administrator will be the first point of contact for tenants and vendors, coordinating maintenance requests, verifying vendor insurance documentation, and ensuring smooth daily operations at the property.

Key Responsibilities

Serve as the first point of contact at the front desk, answering and routing tenant complaint calls professionally and courteously

Enter and track tenant work orders, ensuring timely follow-up and resolution

Coordinate with maintenance teams and outside vendors to monitor progress and completion of service requests

Verify and maintain Certificates of Insurance (COIs) for all vendors and contractors

Maintain organized documentation and property files related to service requests, vendor compliance, and operational activities

Provide general administrative support to the property management team, including correspondence, scheduling, and recordkeeping

Qualifications

5 years of administrative experience, ideally in a real estate, property management, or facilities environment

High School Diploma or GED required

Proficient in Microsoft Outlook, Excel, and Word

Strong written and verbal communication skills

Excellent organizational skills with the ability to prioritize and follow up effectively

Positive attitude with a strong focus on customer service and professionalism

Demonstrated ability to handle multiple tasks in a fast-paced environment

Nice to Have

Experience in property management or commercial real estate administration

Familiarity with property operations systems or work order tracking tools
