GRAMA Specialist
The Utah Division of Child & Family Services (DCFS) Administrative Office is seeking a highly motivated individual with professional work experience in an office setting to fill a Government Records Access and Management (GRAMA) Specialist, Senior Assistant Caseworker position. Responsibilities and Duties
- Receiving and processing numerous simultaneous requests for public records through the statewide Utah Government Records Access and Management Act (GRAMA) database, using the principles, theories, and practices of record management.
- Assisting the division with formulating appropriate responses to requests.
- Coordinating and assisting DCFS staff and management with responses to GRAMA requests and subpoenas.
- Tracking time critical deadlines; making sure responses are sent within allotted timelines.
- Prioritizing incoming inquiries, questions, and / or complaints for proper routing, researching, and response times.
- Entering data into computerized systems and retrieving, correcting, or deleting previously entered data.
- Maintaining case files.
- Maintaining and / or creating files or record keeping systems; sorting, labeling, filing, and retrieving documents, or other materials.
- Preparing and / or processing documents; reviewing for accuracy and completeness; updating information and / or evaluating against policy, etc.; comparing elements for consistency or logical relationships, etc.
- Ensuring compliance with applicable federal and / or state laws, regulations, and / or agency policy, rules, standards, guidelines, etc.
- May assist professional staff or others with explaining, implementing, and following policies and procedures.

Able to maintain strict confidentialityGreat public relation skillsProficient working with Google DocsProficient working with Microsoft Word, Excel, and Adobe Pro to create and prepare documentsSkilled in typing and operating office equipment as requiredSkilled in using correct grammar, spelling, and punctuationAdept at dealing with people in a manner which shows sensitivity, tact, and professionalismCommunicates effectively, clearly, and concisely verbally and in writingAttention given to small details for accuracy of information providedKnowledgeable in using the principles, theories, and practices of records managementPreference
