Job type : Contract to Hire

Location : Spring Branch

Compensation : $22-$25 / hour

Overview :

BGSF is seeking a reliable and adaptable Administrative Assistant to support a variety of administrative, operational, and event-related tasks. This role is ideal for an organized, proactive individual who enjoys working collaboratively and supporting multiple areas within an association environment. The ideal candidate must have experience with purchase orders, invoices, and billing , as this position will assist with essential accounting and financial coordination tasks.

Key Responsibilities :

  • Provide general administrative support, including document management, scheduling, and correspondence.
  • Assist with communication efforts such as phone and email support, ensuring prompt and professional responses.
  • Process and track purchase orders, vendor invoices, and billing to ensure accuracy and timely completion.
  • Verify billing information, resolve discrepancies, and maintain organized financial records.
  • Coordinate with vendors and internal departments regarding billing inquiries and approvals.
  • Assist with event coordination, setup, and on-site support for meetings and programs.
  • Support operational tasks such as inventory tracking, printing, shipping, and mailings.
  • Contribute to small projects and daily operational initiatives, offering flexibility wherever needed.

  • Highly organized, detail-oriented, and able to manage multiple priorities.
  • Strong communication skills and a professional, customer-service-oriented demeanor.
  • Proactive, adaptable, and able to work effectively in a collaborative team environment.
  • Comfortable supporting various departments and adjusting to changing priorities.
  • Previous experience in administrative, accounting, or event support roles preferred.
  • Requirements :

  • Must have experience with purchase orders, invoices, and billing.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with accounting or purchasing software (e.g., QuickBooks, Yardi, MRI, SAP) is a plus.
  • Reliable, punctual, and professional work ethic.
  • Ability to lift or move materials as needed for events or projects.
