Job Summary
The NASCAR Hall of Fame (NHOF) Event Manager acts as the primary liaison between the NASCAR Hall of Fame and clients. They are responsible for detailing and executing all Event and Food & Beverage requirements. Responding to leads and booking short term inquiries working in conjunction with the outbound venue sales team.
- Responds to and books short-term inbound inquiries that come via repeat clients, phone, walk-in, websites, hotels and referrals; communicating dates, rates and space; utilizing CORE, appropriate proposal templates, opportunities, traces and contracting procedures.
- Conduct sites for potential clients to showcase NASCAR Hall of Fame.
- Details event agendas / specifications in CORE to ensure the execution of services which include public safety, cleanliness of facility, catering, room set-up, power distribution, lighting, and air temperature; distributes service orders to appropriate departments for execution.
- Works in conjunction with catering team on citywide events and identified outbound sales events.
- Create & revise room layouts with knowledge of fire code regulations and building resources.
- Conduct pre-event meetings and / or site visits as necessary with clients prior to events to discuss flow, identify any areas of concern, adjust itinerary if needed and give overview of the event.
- Coordinates all activities with NASCAR Hall of Fame staff including Operations, Exhibits, Education, Group Sales and Industry Relations as appropriate – taking into consideration relative schedules, space utilization, exhibit movement, celebrity appearances, parking and other related logistics.
- Act as on-site Building Manager during events in conjunction with NASCAR Hall of Fame Manager on Duty in overseeing all departments and service contractors in relation to the execution of the event.
- Monitor events as they occur to ensure that all event activities are executed in a timely manner per the service orders.
- Enforce event regulations and handle any emergency situations. Prepares reports for Risk Management in the event of patron accidents.
- Log post-event summaries, in CORE, close service orders to prepare for billing.
- Contact client after event to ensure event was a success, and initiate rebooking process.
- Exercise tact and courtesy in performing duties in achieving the common goal of customer satisfaction.
- Attend weekly meeting as scheduled.
- Meet deadlines with limited supervision.
- Assists NHOF Senior Event Manager as necessary.
- Must be able to work a flexible schedule which will consist of nights, weekends and possibly holidays.
- May perform other duties as required.
