Job Description
Coordinate and support the efforts of production members to achieve established goals and mission objectives. Ensure personnel placement aligns with production requirements and scheduling. Act as a liaison between the Production Team and all other departments to facilitate communication, identify and resolve issues, and ensure follow-through on solutions. Oversee adherence to the production schedule and monitor compliance with quality, safety, housekeeping, and timekeeping standards. Ensure team members have the proper tools, resources, and systems needed to perform their roles effectively. Serve as an information link between superintendents, foremen, corporate, and customers.

Job Responsibilities :
- Collaborate with the Vice President of Production, Superintendents, Foremen, and other key personnel to provide ongoing support. This includes updating and maintaining the milestone forecast, reporting progress, creating and uploading project documentation, submitting P.O. requests, and assisting with permit applications.
- Ensure compliance with DISA and FWW internal and external background and drug testing policies. This includes oversight of all testing types (random, project-specific, and for cause). Coordinate closely with the FWW Safety team to maintain full compliance and readiness.
- Direct, organize, and coordinate staffing to meet production goals, adjusting as needed based on customer needs or schedule changes. Maintain strong communication between in-house and field personnel. Oversee crew creation and updates and assist in resolving field crew issues. Support project-specific requirements such as badging, permit coordination, lodging, per diem, and training.
- Collect and analyze information to identify risks, blockers, or delays. Flag and report potential issues to the VP of Operations and the team for proactive mitigation planning. Follow up and react accordingly to minimize disruptions.
- Coordinate production activities to ensure productivity and vendor targets are met. Support project closeout efforts by gathering and managing required data and documentation. Assist in reviewing product specifications and submittals.
- Plan, organize, and participate in team and staff meetings. Track and complete action items. Attend training sessions as required. Ensure accurate and timely daily time entry, as needed.
- Manage the subcontractor vetting process per FWW requirements. Act as a liaison between subcontractors, our insurance risk manager, and the contract administrator to facilitate approvals. Maintain compliance documentation and update all records. Create, track, and manage work orders and purchase orders; file and maintain them in SharePoint. Review and approve production invoices submitted through the PA office.
- Generate and distribute production reports and key performance metrics. Ensure all documentation (timesheets, production data, etc.) is accurate and up to date.
- Perform additional duties as assigned.
Qualifications :
Experience managing databases, reporting tools, P.O. workflows, and design platforms is a plus.Background in construction management or a similar role with relevant technical experience.Ability to multitask and work effectively in a fast-paced, high-pressure environment.Proficiency in Microsoft Office Suite, including advanced Excel and PowerPoint skills.Strong written and verbal communication skills.Self-directed and highly organized, with the ability to build positive working relationships with internal teams, vendors, and customers.Bilingual in English and Spanish is a plus.Physical Demands :
Ability to lift up to 25 pounds.Prolonged periods of sitting in an office environment.
