Fairgrounds Event Coordinator
The Gallatin County Fairgrounds is a 64-acre property in northeast Bozeman that has a long history as a community gathering space and event venue. The Fairgrounds hosts a variety of events year-round, with the only event directly managed by County staff being the Big Sky Country State Fair each July. Under the direction of the Fairgrounds Director, this position is responsible for booking public events in Fairgrounds rental spaces, marketing the Big Sky Country State Fair, cultivating sponsorship opportunities, and recommending ways to increase revenue from rentals and sponsorships. The position also generates reports to track revenue and performance. This role serves as a key communicator and advocate for the Gallatin County Fairgrounds.
Essential Job Duties and Responsibilities
Fairgrounds Events (year-round)
- Serve as the main point of contact for prospective and contracted event lessees. Schedule events, draft contracts, and ensure compliance with County and Fairgrounds policies.
- Book, track, and communicate upcoming events with Fairgrounds staff.
- Upload public event information to the Fairgrounds website and social media platforms.
- Develop and implement strategies to grow the event customer base and establish methods to track and report results.
Big Sky Country State Fair (annual, year-round planning)
Coordinate marketing and promotions for the Fair, including development of marketing materials, placement strategies, and implementation.Cultivate and manage sponsorship relationships from first contact through contract fulfillment.Meet with sponsors to gather feedback, address issues, recommend improvements, and evaluate likelihood of renewal.Assist in arranging and overseeing media interviews with staff and sponsors.Prepare reports, spreadsheets, and post-event information packets for sponsors, staff, and policymakers.Recommend areas where efficiencies and improvements can be made.Provide on-site event support during the Fair.Other Duties
Support the Fairgrounds Director in advancing financial goals and identifying growth opportunities.Post updates and general information on the website and social media.Respond to phone calls and emails sent to the Fairgrounds office.Distribute RV tags, check and process mail.Perform additional duties as assigned, including administrative support, coordinating special projects and events, attending meetings, and participating in training.If the County Commission proclaims a local emergency due to disaster (e.g., fire, flood, earthquake, riot), County employees may be required to provide services during the emergency and recovery period.
Qualifications
Knowledge of office procedures, records management, customer service standards, and marketing / promotional methods.Proficiency in Microsoft Word, Excel, Outlook, internet applications, and social media platforms.Strong written and verbal communication skills, including the ability to prepare clear reports, deliver presentations, and speak publicly.Ability to establish and maintain effective working relationships with coworkers, sponsors, lessees, community groups, government officials, and the public.Strong sales, service, and sponsorship development skills.Creativity, initiative, and the ability to be detail-oriented and adapt quickly.Experience in project management, sponsorships / fundraising, sales, promotions, or a related field preferred.Ability to analyze problems, identify solutions, and recommend improvements.Willingness to work as an engaged team member and support Fairgrounds staff and operations.Education & Experience
Equivalent to five (5) years of related work experience in project management, marketing, sponsorships, or related fields.Valid driver's license and insurable under the County's liability policy.Supplemental Information
Licenses and Certifications : Applicants for this position must possess a valid driver's license, provide own transportation to conduct out of office job duties (mileage reimbursement provided under the County policy), and to be insurable under the County's liability policies.
As a condition of hire, the final candidate will be required to successfully pass a criminal history check and background investigation.
