Responsible for daily classes and camps registrations that are of interest to adult and youth community members. Interfaces with the booking software (currently ASAP), instructors (independent, 1099 contractors), and seasonal camp staff.
Responsibilities
Essential Functions and Responsibilities :
- Oversees implementation and execution of all classes and camps, including :
- Researching and planning new classes and camps based on community interest / needs and available resources.
- Scheduling class terms, dates, times, and instructors for classes and camps.
- Scheduling classes and camps in Caterease software.
- Ensuring room setups, food & beverage, and other requirements are requested and executed with facilities personnel.
- Developing monthly listings of Classes & Camps for Constant Contact emails and input into the President's monthly DOWNTOWN Newsmagazine column.
- Overseeing student registration and database operations (ASAP).
- Maintaining ASAP software, including accepting registrations, preparing class rosters, overseeing online registration procedures, administering instructor access, applying upgrades, and generating reports.
- Overseeing administration and training of 1099 instructors.
- Maintaining class and instructor files; preparing and executing instructor contracts, hiring paperwork, and background checks.
- Preparing and submitting monthly compensation for 1099 instructors to Accounting.
- Sending out surveys after classes.
- Functioning as liaison with other departments to ensure set-ups, volunteers, food & beverage, and other requirements are communicated to Facilities and Hospitality teams.
- Attending and observing a minimum of two unique classes per term.
- Preparing weekly Friday reports for meetings with the President.
- Assisting in updating class flyers and procedure manuals.
- Coordinating volunteers for classes and camps as needed.
- Working with the Sr. Director of Marketing Communications to develop effective marketing plans, including traditional and social media.
- Performing related duties as assigned.
Qualifications
Education, Job Knowledge, and Skills :
College graduate preferred.Strong oral and written communication skills; articulate and effective expression.Excellent phone and interpersonal skills; positive demeanor.Well organized; able to handle interruptions and multitask while maintaining a pleasant disposition.Excellent planning skills.Ability to work under pressure and meet deadlines.Proficient in Microsoft Word, Excel, Outlook; ability to learn internal software.Strong proofreading and attention to detail.Desire to meet new people and engage in new situations.Self-starter with problem-solving skills.Ability to maintain confidentiality.Ability to handle dissatisfied or irate parents, participants, or teachers professionally.Proficient in operating computers, phones, copiers, and office equipment.Employee and Public Contact
Daily contact with program registrants, participants, parents, and instructors. Regular collaboration with Hospitality, Accounting, Facilities, and Volunteer Coordinator.
Physical Demands
Extended periods working at a computer and on the phone. Occasional lifting up to 20 pounds.
Work Schedule
Part-time; 20 hours / week; Exempt. Hours are Monday through Friday, 9 am to 2 pm, with some evenings and weekends as needed.
