Description
This classification involves advanced clerical work and moderately complex work methods and problems. Incumbents in this classification perform varied clerical work requiring the application of independent judgment and clerical knowledge. Work differs from that found in the Administrative Support I class in that these positions require the capacity for considerably more clerical growth, they do more difficult and demanding work and, within a reasonable orientation period, must work with considerably more independence of action and judgment than Administrative Support I. The variety of work differs among positions, but where the work is more repetitive there is an additional responsibility for finality of action. Work may include the operation of standard office equipment for which no previous training is required. Supervision may occasionally be exercised over a small group of employees assisting in routine details. Work is reviewed by a supervisor through observation of operations, periodic audits of work performed, and by advice and assistance on unusual or difficult problems.
Examples Of Duties
Essential job functions include :
- Sorts and files materials numerically, alphabetically, or by other established classifications.
- Assembles and verifies correctness of financial records; keeps data and other information organized for reporting purposes; and maintains records.
- Posts various clerical, fiscal, and record information; computes data available from records according to standard procedures.
- Explains to the general public procedures on rentals and registrations; furnishes information on fees; verifies payment with data processing lists; computes fees on accounts; and furnishes information to persons upon request
- Acts as receptionist; answers routine questions regarding department activities; greets customers; registers people for events / classes; directs callers to proper places on the basis of their business requests; addresses complaints; and assists public in the preparation of routine forms and statements.
- Opens, sorts, and distributes mail; operates postage meter; and bags out-going mail.
- Supervises filing, indexing, withdrawal of records; answers correspondence, closes out accounts, and handles arrears.
- Schedules and tracks activities such as fire inspections; assists fire inspectors in the field via telephone regarding history of incidents at various locations.
- Files / maintains correspondence, forms, reports, and other materials.
- Opens / closes lobby area; turns off TV; locks restrooms; and decorates for holidays.
- Operates high speed duplicating equipment in the reproduction of a variety of legal documents, official records and other related materials
- Interprets for customers as needed depending on assignment.
- Performs related work as required.
Requirements
Education :
Graduation from an accredited high school or possession of GED equivalency diplomaExperience :
Reasonable work experience in performing office or related clerical work in a computerized system.Proficiency with Microsoft Word and Excel requiredFluency in English & Spanish highly preferredNecessary Special Qualifications :
