Aeroflow Healthcare – Mail & Document Operations Specialist
Aeroflow Health is changing the home medical equipment industry by building better systems for patients, partners, and employees. As part of our Revenue Cycle Management (RCM) team, you’ll play a key role in keeping our operations running smoothly by managing the flow of critical documentation across departments.
We’re seeking a Document Specialist who thrives on organization, accuracy, and process. This is an on-site position at our Asheville headquarters — ideal for someone who enjoys hands-on, structured work and being part of a high-energy, growing team.
This role is a fit for someone who takes pride in consistency, reliability, and supporting a mission-driven healthcare company.
The Opportunity
Within Aeroflow’s RCM division, the Document Specialist :
Manages all incoming and outgoing mail for the company, including opening, sorting, scanning, and routing to the correct teams (Billing, Audit, HR, Finance, etc.).
Organizes thousands of documents weekly , identifies patterns or escalations (e.g., payer recoups, audit correspondence), and flags trends for leadership.
Handles outgoing shipments and supplies , ensuring everything is processed within required timeframes.
Maintains digital records and tracking systems for accuracy and compliance.
Interfaces daily with team members across the organization — this role interacts with many departments, so a friendly, professional demeanor is key.
Spends most of the day on your feet , moving mail bins and managing deliveries, while also spending part of the day scanning and organizing electronic files.
Works collaboratively with leadership and remote teams to ensure all documentation supports Aeroflow’s compliance and financial accuracy.
Required Qualifications :
High School Diploma or GED
Some exposure to healthcare revenue cycle , insurance correspondence, audit, or compliance processes is helpful but not required — we’ll train the right person
Strong attention to detail and ability to identify inconsistencies or trends
Comfort with repetitive, process-driven work that requires consistency and precision
Reliable, trustworthy, and able to handle confidential information
Comfortable standing and moving throughout the day , lifting up to 50 lbs
Proficient with computers, scanning equipment, and Microsoft Office / Google Suite
