Recreation Office Coordinator

The Recreation Office Coordinator provides excellent customer service while performing and / or overseeing a variety of clerical duties to support the day-to-day activities of a recreation facility requiring a thorough understanding of clerical processes and appropriate program, facility and City procedures and policies.

Work Location : Petersen Barn, 870 Berntzen Rd, Eugene

Schedule : Monday Friday, between 8 : 00a.m.-5 : 00p.m. with occasional evenings and weekends per business need.

Examples of Duties Performed

Duties may include but are not limited to the following :

  • Ability and experience organizing, processing, and sharing appropriate information about programs, staffing, and communicating office information in a timely and efficient manner.
  • Ability to process daily cash reconciliation, accounts receivable and accounts payable with a high level of attention to detail and a high level of accuracy. Provide excellent customer service while multi-tasking and completing routine office responsibilities.
  • Ability to appropriately gather sensitive information from patrons, assessing and sharing information with inclusion staff as needed.
  • Tasks include and are not limited to front desk reception, interacting with and providing patrons and staff with program information and registration, tracking program activity and facility rentals.
  • The Recreation Office Coordinator receives supervision from a Recreation Program Supervisor; although this position does not have supervisory responsibilities, he / she may direct the work of temporary employees or other clerical staff.
  • Perform and / or oversee a variety of clerical tasks to support facility activities, such as front desk reception, program information and registration, program activity tracking, and facility rentals; assist customers and patrons with requests for information.
  • Train temporary employees and volunteers in activities involving front desk coverage during regular facility and rental hours, rental scheduling, and other clerical support duties; review and monitor assigned activities; may participate and provide input in hiring and performance review processes for temporary employees. Process accounts payable and receivable; monitor and track payments; process purchase orders and requisitions; assign appropriate codes to transactions.
  • Reconcile program registration and rental income; make deposits; issue and track refunds and cancellations; track income for specific program areas; monitor contracts.
  • Maintain and account for petty cash funds; including distribution and replenishment of funds. Approve, process, and track scholarship, and other assistance programs available to patrons.
  • Process and monitor payments for facility expenditures; purchase supplies and maintain inventory.
  • Perform other clerical duties, such as typing correspondence, sorting mail, establishing and maintaining office files, and maintaining office equipment. Track and prepare financial and activity statistics as requested; assist with the creation reports.
  • Perform and / or assign the data entry for a variety of financial and recreation activity tracking systems.
  • Sets up, formats and maintains routine spreadsheets to track data and perform simple tabulations / calculations; updates data.
  • Assist with program descriptions for the recreation guide; write short news releases on upcoming events; may draft flyers and leaflets, and compile and edit newsletters.
  • Provide input for registration and facility processes and procedures; design forms and tracking processes; maintain manuals and procedure guides.
  • Attend meetings : may take and type meeting minutes.
  • Actively supports and respects diversity in the workplace.
  • Perform other related duties as required.

Minimum Qualifications

Experience

Two years of full-time general office experience.

Education

High school diploma or G.E.D. equivalent

Preferred experience

    Must pass a background check.

    License or Certificate

    First Aid / CPR certificate or ability to obtain within six months.

  • Track, coordinate and prioritize multi-step process : organize work to meet deadlines.
  • Work with a high degree of accuracy and attention to detail.
  • Operate standard office equipment such as personal computer (PC), word processor, calculator, photocopier, Point of Sale register, FAX machine, and printers.
  • Keyboard with accuracy of at least 40 WPM.
  • Keep financial records; maintain petty cash

    Working Conditions

    Work in this class is done generally in a Community Center or Aquatic Facility environment. May be required to sit, keyboard, write, hear and speak for extended periods. May be required to stand frequently or for extended periods. Work includes operating a variety of office equipment.

    Bilingual Pay Benefit

    Per the AFSCME contract, the City shall pay an employee an additional 5% for a required intermediate or advanced level competency. To qualify for bilingual pay, the employee must have demonstrated fluency in the required language and successfully pass a fluency examination administered by the City's Employee Resource Center division.
