Position Description :
The Facilities & Workplace Experience Manager assures the organization's 100,000-square-foot headquarters operates safely, efficiently, and in alignment with the company's values and culture. This role blends operational leadership with a hospitality-driven approach to create a workplace that is functional, engaging, and designed to enhance employee experience.
As the primary facilities and vendor contact for employees, this position manages building operations, vendor relationships, and emergency preparedness programs while fostering an environment of service excellence. The Manager leads contract personnel, coordinates events and amenities, oversees safety readiness, and drives continuous improvement initiatives that strengthen engagement, productivity, and overall workplace satisfaction.
Key Responsibilities :
- Serve as the main point of contact for all facility-related requests and inquiries, ensuring timely and effective resolution.
- Oversee daily building operations, janitorial services, maintenance, and repairs through proactive vendor management.
- Supervise and coordinate contract staff, including the day porter, security guard, and Administrative Services Manager.
- Conduct regular facility walkthroughs to ensure cleanliness, safety, and adherence to presentation standards.
- Manage vendor contracts, service-level agreements, and invoicing related to maintenance, supplies, and operational services.
- Partner with the Director of Facilities on budgeting, cost control, and capital projects.
- Lead and coordinate the Emergency Response Team (ERT), including training, communication, and emergency planning.
- Serve as the primary liaison with Property Management, Security, and local emergency services for drills, incidents, and safety reviews.
- Maintain readiness of life safety systems, evacuation routes, and emergency supplies such as AEDs and first aid kits.
- Oversee documentation and compliance with health, safety, and fire regulations.
- Support post-incident reviews, reporting, and updates to emergency procedures.
- Partner with HR, Communications, and Facilities leadership to deliver exceptional employee experiences and onsite events.
- Oversee workplace amenities and vendor programs such as catering, parking, and commuter services.
- Maintain inviting and functional workspaces, ensuring collaboration areas, meeting rooms, and shared spaces are fully operational.
- Coordinate space planning, office moves, workstation setup, and seating assignments with HR and IT teams.
- Solicit employee feedback and identify opportunities to enhance the workplace environment through continuous improvement initiatives.
- Maintain organized documentation of vendor contracts, service requests, inspections, and compliance records.
- Ensure adherence to all building codes, health, and safety regulations while maintaining a professional and compliant environment.
- Support sustainability, ergonomic, and modernization initiatives across the facility.
- Champion a customer-service mindset and act as a visible, accessible leader to all building occupants.
Preferred Qualifications :
Bachelor's degree in Facilities Management, Business Administration, or a related field.Experience leading Emergency Response Teams or similar safety programs.Knowledge of building systems, health & safety regulations, and fire / life safety codes.Experience with space planning, office moves, and ergonomic or wellness programs.Strong vendor negotiation, project management, and budget management skills.Familiarity with access control, visitor management, or reservation platforms.Experience supporting employee engagement or event coordination initiatives.Collaborative mindset with the ability to influence across departments and levels of leadership.What You Bring to the Team :
