An executive assistant helps in all aspects of the company from helping keep track of deadlines and meetings to client follow-ups. They are the primary point of contact for phone inquiries and will be proactively reaching out to active leads. The person in this role should enjoy interaction with others. They will be working with clients and vendors as well as helping connect different departments withing the company.
QUALIFICATIONS :
Strong computer and internet skills, including Microsoft Office suite
Strong verbal and written communication skills
Able to work well under pressure to output high volume, high quality work
Able to take initiative and work well as a team
Detail oriented and works efficiently
Can do positive attitude problem solver
CORE RESPONSIBILITIES :
Customer Relations - oversee project development and maintain continuous communication with clients through the process
Customer Relations - answer the phone and assist clients or take messages when needed
Utilize Corebridge and other software for job details, proofing and updating product status
Ensure projects are completed to Sequoia Signs & Graphics, Inc. standards and on-time.
Plan what work needs to be done for each job, as well as when and who is going to do it
Clearly and confidently explain projects in their entirety to all departments as needed, leaving them with a full understanding of the project
Quality Control - Make sure the work is being done to the SSG standard
Motivate the team members involved in the project
Handle changes to the project as and when necessary
Help organize Tom & Megan's schedule and workload
Generally pitch in where you are able!
POTENTIAL ADDITIONAL RESPONSIBILITIES :
Provide design, layouts and detailed proofs for customer approval
Provide scaled images and artwork for quoting, proofing and permitting proofs
Create Print / cut ready art files for production
