Benefits :Position Summary
The Project Finance Specialist (PFS) supports all non-tradeshow projects by ensuring seamless financial operations across project lifecycles. This role partners closely with Design Project Managers to oversee AR / AP, budgets, change orders, and reporting. The PFS also contributes to RGIs collaborative estimating process, providing financial validation and insights that strengthen cost accuracy and process efficiency.
Responsibilities & Accountability
1. Financial Transaction Oversight
Manage project AR / AP transactions with PM and PMAA support
Track budgets against actual performance in real time
Ensure financial data integrity across all projects
Manage change order requests
2. Estimating Process Contributions
Validate budget assumptions and cost allocations during estimating
Provide historic cost analysis to strengthen cost libraries and templates
Attend kickoff meetings and ensure financial alignment from the start
3. Partnership with Project Managers
Support Design PMs by embedding financial checkpoints in project milestones
Present budget vs. actuals in biweekly meetings
Provide insights into profitability and cost optimization for future projects
4. Process Management & Improvement
Maintain active / inactive / closed project records and reporting
Recommend finance workflow improvements, including automation and reporting enhancements
Ensure compliance with RGI cost-code structure
5. Cross-Functional Collaboration
Align with Accounting Manager and Estimator to ensure financial data supports estimating and project execution
Escalate concerns when AR / AP timelines or budgets are at risk
Actively contribute to new project management platforms and process integrations
Qualifications & Skills
Required :
5+ years related project accounting or finance experience
High School Diploma / GED required; Associate degree preferred
Proficiency in Microsoft Office and ERP / accounting systems
Strong attention to detail and analytical skills
Ability to manage multiple deadlines with accuracy
Preferred :
Bachelors degree in business, finance, or related discipline
Experience supporting design-build or project-driven organizations
Exposure to tradeshow finance principles (to support cross-functional workload coverage)
Accountability Framework
The PFS is accountable for the financial success of RGIs non-tradeshow projects. Success is measured by accuracy of project financials, effective partnership with PMs, timely AR / AP execution, and contributions to estimating and process improvement.
