Patient Coordinator & Insurance Verification Specialist

What You’ll Do

Patient Coordination

  • Greet patients and families with warmth and professionalism — you’re the first friendly face they see!
  • Schedule, confirm, and manage appointments to keep the clinical schedule efficient.
  • Answer phone calls, emails, and messages promptly and helpfully.
  • Ensure all patient records are accurate and up to date.
  • Guide new patients through the intake process and provide information about their orthodontic journey.
  • Support treatment coordinators and the clinical team with administrative needs.

Insurance Verification

  • Verify orthodontic insurance benefits prior to patient appointments.
  • Accurately enter insurance details into the practice management system.
  • Communicate coverage, limitations, and financial responsibilities clearly to patients and families.
  • Coordinate with insurance carriers to confirm eligibility and resolve discrepancies.
  • Maintain organized records of verification and pre-authorization documentation.
  • Collaborate closely with the financial and treatment coordination teams to ensure smooth case starts.

    • What We’re Looking For

  • Prior experience in a dental or orthodontic front office (insurance verification experience strongly preferred)
  • Strong understanding of dental and orthodontic insurance plans, benefits, and terminology
  • Excellent verbal and written communication skills
  • Attention to detail and accuracy in data entry
  • Ability to multitask and stay calm in a busy environment
  • Warm, positive personality and genuine care for patient experience
  • Familiarity with orthodontic software
