Position Summary
The Maintenance Coordinator plays a key role in keeping our properties operating efficiently and our residents satisfied. This position serves as the central hub for maintenance communication and coordination managing work orders, vendor relationships, warranty claims, preventive maintenance programs, and compliance tracking.
Reporting to the Maintenance Supervisor, youll work closely with technicians, property managers, accounting, and third-party vendors to ensure maintenance operations are timely, cost-effective, and compliant. Your organizational skills and proactive mindset will help identify recurring issues, streamline processes, and support long-term capital planning.
What Youll Do
Work Order & Vendor Coordination
- Receive and triage incoming maintenance and inspection requests.
- Enter, assign, and track work orders in RealPage.
- Communicate with technicians, vendors, and residents to ensure timely completion.
- Request bids, coordinate vendor schedules, and verify insurance and compliance documentation.
Warranty & Project Management
Manage warranty work orders for new builds and coordinate warranty inspections.Act as the liaison between developers, property managers, and vendors for warranty resolution.Assist in seasonal maintenance projects like sprinkler activation, snow removal, and furnace inspections.Compliance & Documentation
Maintain accurate records for inspections, permits, warranties, and vendor documentation.Track and support compliance with NSPIRE, OSHA, and other applicable regulations.Preventive Maintenance & Reporting
Maintain the preventive maintenance calendar and recurring inspection schedules.Generate monthly and quarterly reports on maintenance KPIs, warranty status, and vendor performance.Support leadership with insights on recurring maintenance or capital needs.Financial & Administrative Support
Verify invoices and ensure accuracy before submitting to accounting.Track maintenance expenses and flag high-cost or repeat issues for review.Assist with vendor bid comparisons and contract tracking.Communication & Team Support
Serve as the primary liaison between maintenance, property management, and accounting teams.Provide timely updates to leadership about critical repairs or cost concerns.Help train maintenance staff on administrative processes and RealPage functions.Qualifications
Required :
2+ years experience in property management, maintenance coordination, or a related field (affordable housing experience preferred).Strong administrative and technical skills, including Google Suite and Microsoft Office (Teams, Outlook, Excel, Word).Knowledge of Fair Housing laws and NSPIRE inspection standards.Excellent communication, organization, and multitasking abilities.Preferred :
Associate or Bachelors degree.Experience with multifamily or affordable housing portfolios.Familiarity with RealPage software.Located in CO, UT, WY, SD or MT.Who You Are
