Grants Specialist

We are seeking a detail-oriented and financially savvy Grants Specialist to manage a diverse portfolio of public and private grants. This role is essential in ensuring accurate invoicing, compliance with funder guidelines, and effective budget monitoring. Location : St Albans, WV Employment Type : Full-Time Compensation : $40,000$45,000 annually (commensurate with experience)

Key Responsibilities

  • Financial Oversight & Budget Monitoring

Track reimbursable expenses and ensure proper allocation of funds.

  • Monitor grant budgets to prevent over / underspending.
  • Review general ledger activity for accurate coding.
  • Invoicing & Revenue Recognition

    • Prepare and submit timely invoices to funders.

  • Maintain documentation for audits and compliance.
  • Reconcile grant revenue and expenditures.
  • Grants Lifecycle Management

    • Assist in proposal development and budget preparation.

  • Coordinate post-award processes and maintain grant records.
  • Lead or support financial close-out of grants.
  • Compliance & Reporting

    • Ensure adherence to funder regulations and internal policies.

  • Provide interim and final financial reports.
  • Respond to audit and monitoring requests.
  • Systems & Process Improvement

    • Enhance internal tracking systems and documentation processes.

  • Support integration between financial and grant management systems.

    • Qualifications

  • 3+ years of experience in grants administration, finance, or accounting.
  • Bachelor's degree in Accounting, Finance, Public Administration, or related field (or equivalent experience).
  • Familiarity with Sage, DonorPerfect, and Concur preferred.
  • Strong knowledge of nonprofit or governmental grant environments.

    • Skills & Competencies

  • High proficiency in Microsoft Excel and Office Suite.
  • Strong analytical, organizational, and communication skills.
  • Ability to interpret complex grant regulations.
  • Collaborative mindset and ability to manage multiple deadlines.
