Role Description

We are seeking a Searcher and Administrative Assistant for a full-time, on-site position in Dixon, IL.

This role combines title search responsibilities with administrative support. The ideal candidate will manage communication, maintain accurate records, and provide excellent customer service. The position requires professionalism, attention to detail, and the ability to handle a variety of clerical and administrative tasks.

Qualifications

Experience in administrative assistance and / or executive administrative assistance

Strong phone etiquette and communication skills

Solid clerical skills and organizational abilities

Proficiency in Microsoft Office Suite

Ability to manage time effectively and work independently

Detail-oriented with a strong focus on accuracy

Previous experience in the title industry is a plus

High school diploma or equivalent (additional education is a plus)

Regular Duties

Interact with external customers via phone, email, and in person

Make trips to the Recorder’s Office and other courthouse offices

Perform data entry and record retrieval

Prepare property reports, name searches, and updates through the current date by transcribing postings from tract index books

Search for reference material filed on property (e.g., image documents, tax information, maps)

Use company software for managing title searches

Complete typing and other clerical work

Ensure knowledge of and compliance with Company policies, including Best Practices

Demonstrate basic understanding of corporate structure and office locations

Support other office duties as needed
