OVERVIEW & PURPOSE
The Accounting and Office Manager’s primary role is to support back-office functions including but not limited to accounts receivable, accounts payable, procurement, reporting, and human resource administration. We are located in Clinton, Arkansas and process poultry for farmers from an eight-state region. Natural State is looking for an independent thinker, who has a proven record of accomplishment of improving processes and is detail oriented. A successful candidate has the ability to see the big picture while executing on a Natural State operational level to improve overall performance.
REPORTING AND PEER RELATIONSHIPS
The Accounting and Office Manager has a dual reporting relationship with the Director of Poultry Operations / General Manager on-site, and CFO. S / he must develop and maintain good working relationships with staff, suppliers, members, and customers. The Accounting and Office Manager will work in a team approach with the staff, plant management team, vendor partners, and customers to establish, maintain, measure, and report on Natural State’s operational systems. S / he must be a team player who is reliable and understands their dependability is important for the team’s success.
RESPONSIBILITIES
Ensure that Cypress Valley / Natural State Processing delivers on its customer promises
Provide support to company finance and administration functions and staff
Perform basic office tasks, such as filing, data entry, answering phones, processing the mail, etc.
Handle communications with clients and vendors via phone, email, and in-person
Process transactions, invoice customers, issue checks, and update ledgers, budgets, etc
Assist with audits, fact checks, and resolving discrepancies
Maintain accounting systems and accounting ledgers and financial reports
Assist in recruiting, on-boarding and employee file administration
Ensure statutory compliance
Ensure safe keeping and confidentiality of all administrative records
Oversee receipt and verification of various reports from staff including timesheets, expense reports, vehicle reports, and other reports
Provide support to the tendering and collection process
Support in the maintenance of asset records and help coordinate motor vehicle maintenance / physical asset repairs
Custodian of the organization’s general email address
Provide logistical support to senior and executive management for office meetings, conferences, workshops, and accommodation and entertainment arrangements for organization’s visitors
Help maintain company-wide digital filing system and record retention
Other duty may be assigned

QuickBooks Financial system 5+ years experience preferred, payroll software experience preferred

Microsoft Office, Word PowerPoint, and Excel skills
Organizational skills and attention to detail
Excellent oral and written communication skills
A self-starter with proactive tendencies

EDUCATION & EXPERIENCE REQUIREMENTS
Minimum of 5 years of progressively responsible positions in a complex environment in the business management or accounting field.
BA / S in business, accounting, finance, or related field preferred
Experience using ADP payroll software, specifically ADP Workforce Now
PHYSICAL REQUIREMENTS
Ability to meet the physical demands of the job (prolonged periods of standing, prolonged periods of sitting at a desk and working on a computer, lifting heavy loads of up to 40 pounds).
