Job Summary
The Procurement Coordinator is responsible for ensuring that all products and services are purchased from approved suppliers and delivered in accordance with established terms and conditions. This role plays a key part in optimizing value for the company by securing cost-effective and timely procurement solutions. The incumbent will support procurement operations through effective coordination, communication, and process management to uphold company standards and drive operational efficiency.
Key Responsibilities
- Collaborate with the Procurement Manager to plan, schedule, and prioritize purchasing activities.
- Provide exceptional customer service when responding to requests from Operations and internal support departments.
- Review purchase requests, identify and source suitable suppliers or equipment, prepare requisitions, and manage the approval workflow to support efficient and compliant procurement operations.
- Issue approved purchase orders and supporting documentation to suppliers, ensuring accuracy and priority handling.
- Monitor order acknowledgments, track delivery timelines, and communicate shortages, back-orders, or potential delays to internal stakeholders.
- Track and confirm order lead times, delivery dates, quantities, and pricing.
- Manage purchase orders throughout their lifecycle, ensuring accurate updates and proper closure in coordination with Accounts Payable.
- Collaborate with Accounts Payable and Inventory teams to resolve receiving and invoicing discrepancies and oversee the maintenance of new items and price updates.
- Ensure adherence to supplier contracts and agreements; identify and report non-conformances.
- Manage day-to-day operations of multiple corporate supply accounts, including user administration, inventory management, program oversight, and pricing updates.
- Identify opportunities for process improvement and cost savings to enhance procurement efficiency.
- Support supplier base consolidation, reduction, and rationalization initiatives.
- Compile, analyze, and evaluate procurement data to support decision-making and continuous improvement.
Qualifications
High school diploma or equivalent required; bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a related field preferred.Candidates should ideally have 3-5 years of experience in purchasing or related procurement functions.Relevant coursework in accounting, inventory management, global sourcing, negotiation is an asset.Strong written and verbal communication skills with the ability to interact effectively across all levels of the organization.Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.Proficiency in asset management software preferred.Demonstrated ability to build strong working relationships and collaborate effectively in a collaborative environment.Excellent organizational, time management, and critical thinking skills with a strong attention to detail.Ability to prioritize and manage multiple tasks in a dynamic, fast-paced setting.Initiative-taking with a strong sense of urgency and accountability for meeting deadlines and achieving objectives.Heinen’s, Inc. provides equal employment opportunity to all persons regardless of age, color, national origin, citizenship status, physical or mental disability, race, religion, creed, gender, sex, sexual orientation, gender identity and / or expression, genetic information, marital status, veteran status, or any other characteristic protected by federal, state or local law.
