The Center for the Functional Restoration of the Spine (CFRS), an affiliate of American Orthopedic Partners (AOP), is proud to be a trusted destination for comprehensive spine care in Shrewsbury and Toms River, NJ. Our physicians specialize in diagnosing and treating the full spectrum of spinal conditions, from everyday back and neck pain to the most complex challenges such as herniated discs, scoliosis, degenerative discs, and stenosis.

We are currently seeking a Medical Office Supervisor to join our dedicated team in Shrewsbury, NJ. In this key role, you will lead the daily operations of the practice, supervise administrative team members, and ensure that patients and providers alike experience a smooth, supportive environment. As the frontline leader for administrative team members, the Supervisor will balance operational efficiency with patient-centered service. We’re looking for someone with professionalism, resilience, and strong communication skills who can inspire and support a team while advocating for both patients and providers.

Key Responsibilities

  • Supervision & Support

Supervise daily administrative functions and team members to ensure efficient and effective front-office operations.

  • Monitor team members time and attendance, payroll changes, and scheduling as needed.
  • Train, coach, and support teammates to deliver excellent patient service.
  • Operational Oversight
  • Ensure smooth day-to-day operations including scheduling, check-in / check-out, billing processes, and administrative workflows.

  • Support providers by anticipating office needs and communicating team / patient issues clearly.
  • Take ownership of processes and recommend improvements for efficiency.
  • Step in as needed to ensure smooth daily operations and continuity of patient care.
  • Resource Management
  • Oversee supply management, office equipment, and vendor relationships to support efficient daily operations.

  • Assist practice leadership with monitoring budgets and managing office expenses.
  • Communication & Collaboration
  • Act as a liaison between team members, providers, and AOP leadership.

  • Address patient or team member concerns with professionalism and timely resolution.
  • Maintain a culture of accountability, respect, and service excellence.
  • Qualifications

  • Minimum 2–3 years of supervisory experience overseeing administrative operations in a medical office or private practice required.
  • Experience with core administrative functions such as scheduling, billing / collections, and patient service workflows preferred.
  • Strong interpersonal and leadership skills with the ability to build trust, foster accountability, and support team development.
  • Resilient and adaptable leader who can navigate challenges, step in where needed, and maintain focus on patient and business needs.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); experience with eClinicalWorks (ECW) strongly preferred.
  • Excellent organizational and problem-solving skills with the ability to learn quickly and adapt to evolving practice needs.
  • Bachelor’s degree preferred (or equivalent experience).
  • Within Your First 90 Days, You Will :

  • Gain oversight of team member scheduling, office workflows, and supply management.
  • Build trust with providers and team members through clear, consistent communication.
  • Assess current administrative processes and identify improvements.
  • Compensation & Benefits

  • Salary range : $65,000–$80,000 annually, plus incentive opportunities.
