Overview
We're seeking a Recruiting Assistant (RA) to be the primary point of contact for candidates throughout the recruitment and onboarding process. This role ensures a seamless and positive experience for every candidate and new hire.
Key Responsibilities
- Interview Scheduling & Coordination : Schedule and coordinate interviews between candidates and hiring managers; manage calendar availability, logistics, and ensure candidates receive all necessary materials prior to interviews.
- Candidate Communication & Experience : Serve as the main liaison for candidates, keeping them informed about their status, interview details, and next steps; maintain a positive candidate experience throughout the hiring journey; keep candidate profiles and requisitions up to date.
- Requisition & Data Management : Assist with requisition creation, approval, and closure; transfer new hire data to HRIS before the start date.
- Feedback & Decision Support : Collect and organize hiring manager feedback post-interviews; support informed hiring decisions with timely communication and coordination.
- Offer & Onboarding Support : Draft offer letters for Talent Acquisition review and approval; guide new hires through onboarding paperwork and activities; order background screens, conduct reference checks, and coordinate IT equipment setup.
- Compliance & Reporting : Ensure HIPAA compliance and confidentiality of sensitive data; run recruitment-related reports from the ATS as needed; partner with internal departments to ensure smooth hiring processes; uphold the company's core competencies and values.
Job Scope
This position works under direct supervision and applies talent acquisition assistant skills to routine duties while handling varied issues independently. More complex matters are referred to higher levels of leadership.
Qualifications
Education : Bachelor's degree, or High School Diploma + 4 years of related experience.Experience : 3+ years as a Recruiting Assistant; knowledge of recruitment best practices and Talent principles (HR Certification preferred).Technical Skills : Proficiency with ATS platforms, MS Office Suite (Outlook, Word, Excel), and video conferencing tools (Zoom, Teams).Core Competencies : Strong organizational and time-management skills; excellent communication and interpersonal abilities; discretion handling sensitive and confidential information.Seniority level
