Music Licensing Coordinator / Publishing and Budget Project Manager

Our client is seeking an Executive Assistant with knowledge and passion for music. The individual will provide music licensing support, along with content production management responsibilities across social / digital platforms and regional offices. This position coordinates day-to-day workflow of music clearances (e.g., researching songs and identifying publishers, writers, and labels), cue sheet submissions, and department-wide administrative tasks. The role also supports operational tasks across International Programming, International Operations, Social and Digital Content creation, and Next Gen content. Pay rate : $28 per hour

Hours : 9 : 00 AM – 5 : 00 PM

Hybrid work model : 3 days in office, 2 days remote

Assignment length : 12 months

Responsibilities

Support conversion of current physical filing system (e.g., agreements and correspondences) into a digital tracking system, including sharing relevant information with stakeholders (e.g., expiration dates, tracking contracts, invoices, spend, number of requests).

Music clearance research and preparation of formal music clearance submission requests.

Review and submission of quarterly cue sheets.

Serve as Production Management liaison, coordinating end-to-end workflows for Social and Digital Content and International Programming teams. This includes managing production requests from regional offices, coordinating with internal teams to handle crews for onsite shoots, location scheduling, budget estimates, and contracting with vendors and 3rd parties, using systems to create PO’s and WO’s, approve timesheets, and track project spend and forecasts. Communicate deadlines and updates with finance and stakeholders and coordinate budget projections and shifts as needed.

Complete corporate, meeting, and BTA card templates, and submit monthly supporting documentation.

Organize merchandise orders for tentpole events across Programming and Emerging Media teams.

Qualifications

Detail-oriented candidate with familiarity in music licensing / publishing and / or budget and project management best practices.

Ability to work autonomously, take direction, and proactively determine additional steps to reach goals.

Effective written and verbal communication, ability to meet deadlines, and manage expectations with stakeholders.

Ability to multitask in a high-pressure environment while adhering to strict deadlines.

Proficiency with MS Word, Excel, and PowerPoint.
