Executive Assistant

This is a highly responsible professional position supporting day-to-day operations of a nonprofit organization whose mission it is to support homeless children with families. The Executive Assistant must work with professionals from numerous community organizations, with volunteers from the community, as well as with Family Promise staff. This work is performed with a high degree of independence under the supervision of the Executive Director.

Responsibilities and Duties :

This position is responsible for providing general administrative support as needed, including but not limited to :

Administrative Responsibilities :

Perform basic bookkeeping tasks, bill paying, check cutting, mailing checks, making deposits, assisting with audits, etc.

Purchase office supplies.

Prepare for Board of Director meetings by preparing and printing documents per the Executive Director

Manage repair and maintenance of office equipment, including computers, phones, and printers.

Perform general administrative support.

Attend monthly regular Family Promise meetings and any community meetings as required by the Executive Director.

Highly experienced with technology used for communications, resources, and program delivery. Proficient with Microsoft Office and experience with cloud-based client database systems.

Highly skilled in prioritizing tasks, handling multiple assignments, and meeting deadlines in a fast-paced environment, while maintaining strict attention to detail.

Communication Responsibilities :

Assist with and print electronic newsletter.

Assist with donor communications, including appeal and thank you letters, for monetary donations.

Respect for cultural differences including the ability to interact effectively with people of different cultures and socio-economic backgrounds.

Excellent written and verbal communication skills.

Maintain a high level of professionalism and adhere to strict confidentiality of sensitive information.

Other Responsibilities :

Answer phones, respond to referrals for emergency shelter and to field calls from host coordinators and other congregational volunteers.

Provide fundraising / grant writing support.

Perform related work as required by the Executive Director.

Experience :

Prefer applicant to have a minimum of one-year experience in working in an office setting or related work environment.

High School diploma required.

Receptive and responsive to coaching, supervision, and feedback; works well in team setting.

Pay : $14.50 per hour

Schedule : Full time, 40 hr. work week
