Are you passionate about serving families with care and compassion? Join our team! The Archdiocese of Milwaukee Catholic Cemeteries has an opportunity for a Family Service Coordinator. The Family Service Coordinator is the face and voice of an Archdiocese Cemetery location and is often the very first person that a family member will see or talk to. This position is responsible for making a good first impression when greeting walk-ins or answering inbound calls.
The Family Service Coordinator takes on both administrative and receptionist duties and is an important resource for making things happen and making things run smoothly. This position will have a working knowledge of the cemetery operations, processes, and procedures. The coordinator reports to the Location Manager, interacting with internal departments and location staff, individuals and families, and other external service providers, demonstrating 'Share the Journey, Serve with Care, and Make It Happen' in all their dealings with families, staff, and internal / external contacts.
Responsibilities
- Maintain a courteous professional presence and appearance with a Family First Focus
- Serve with care, greet, assist, and direct all persons entering the Archdiocese Cemetery building
- Manage appearance and general upkeep in arrangement rooms and family gathering areas
- Ensure adequate supplies are available for family arrangements and services
- Pay close attention to the safety of families and guests at all times and address issues and concerns
- Serve as the primary inbound call receptionist with the expectation of answer calls within two rings and do not let callers hold for more than 30 seconds
- Avoid placing callers into voicemail-find another staff member to assist or take a message
- Maintain calendars and service schedules for family arrangements, outreach, and community events
- Effectively communicate with internal and external departments and staff
- Direct vendors or suppliers to the appropriate location for deliveries
- Prepare a variety of documents, emails, and correspondence for all recipients
- Copy, file, and maintain case files, contracts, and other documents
- Collect, sort, distribute, and prepare incoming / outgoing postal mail, or fax machine
- Use CRM to look up families and direct to the appropriate Family Service Advisor
Qualifications
High School diploma or equivalent required. Associate 's degree in business or related fieldKnowledge of the Catholic faith, rituals, and traditionsUnderstanding of the Order of Christian FuneralsAble to conduct oneself with a “Family First” approachHighly organized, detail oriented, and excellent time management skillsExcellent interpersonal and communication skills and strong customer service skills and serve customers in a courteous, customer-focused presence and ability to remain tactful when faced with emotional situationsAbility to maintain confidentialityValid driver's license is required and local travel within the Archdiocese Cemeteries may occasionally be necessary.Proficiently in Microsoft Office Suite and the ability to manage and use electronic databases and applications for reports, scheduling, financial transactions and record keepingOccasional evening or weekend workOccasional lifting up to 35 poundsCompensation and Benefits
