We are seeking an assertive, creative, and solutions-oriented Executive Administrator to provide critical support to NLEN’s Chief Impact & Innovation Officer (CIIO). The Impact & Innovation team is the largest division at NLEN with 25+ staff, leading initiatives across workforce development, employer partnerships, housing innovation, social enterprise, and systems transformation. This division is central to NLEN’s mission and manages a majority of the organization’s external partnerships, funder deliverables, and innovation strategies.
The Executive Administrator will function as a trusted partner to the CIIO, blending high-level executive support (calendar, scheduling, correspondence, and logistics) with project and operations coordination (tracking deliverables, preparing reports, supporting division-wide communications, and ensuring follow-through). This position requires a proactive professional who can operate with discretion, manage multiple priorities, and contribute to the efficiency and effectiveness of the Impact & Innovation division.
Key ResponsibilitiesExecutive Support
- Manage the CIIO’s calendar, scheduling, travel, and expense processing.
- Draft, proofread, and prepare correspondence, presentations, reports, and talking points.
- Anticipate needs by preparing meeting briefs, agendas, and follow-up action lists.
- Serve as the primary point of contact for inquiries, maintaining discretion and professionalism.
- Project & Operations Coordination
- Track tasks, deadlines, and deliverables for major initiatives (e.g., Salesforce implementation, housing pilot, employer partnerships).
- Maintain dashboards, trackers, and reporting tools to ensure visibility of grant, contract, and project outcomes.
- Coordinate retreats, convenings, and special events hosted by the Impact & Innovation division.
- Provide administrative coordination for a 25+ person team, including internal communications, scheduling team huddles, and distributing shared materials.
- Develop systems to streamline workflows, knowledge management, and team efficiency.
Stakeholder & Partnership Support
Coordinate logistics and communications with funders, employer partners, and community collaborators.Assist in preparing proposals, funder updates, and engagement deliverables.Support execution of external-facing convenings, roundtables, and community collaborations.Strategic Administrative Leadership
Anticipate the CIIO’s needs and proactively recommend solutions.Ensure the CIIO is fully prepared for internal and external engagements.Protect the confidentiality of sensitive organizational and partner information.Identify and implement process improvements to increase efficiency and accountability.Qualifications
Bachelor’s degree preferred, or equivalent combination of education and experience.4–6 years of progressively responsible administrative, project coordination, or operations experience; nonprofit or workforce development experience a plus.Strong organizational and time management skills with proven ability to manage multiple projects simultaneously.Excellent written and verbal communication skills, with experience drafting executive-level correspondence.High proficiency in Microsoft Office Suite, Google Workspace; Salesforce or other CRM / project management systems strongly preferred.Assertive, proactive, and resourceful, with strong problem-solving and creative thinking skills.Ability to exercise discretion, maintain confidentiality, and represent leadership with professionalism.
